Description

General Summary:

Under the direction of the Facilities Supervisor, the Inventory Specialist is responsible for managing and maintaining accurate records of inventory, surplus, and capital assets owned or leased by the College of the Muscogee Nation. This includes utilizing asset management systems to track all current, incoming, and outgoing inventory and surplus, ensuring precise labeling with asset tags and thorough documentation.

The Inventory Specialist is key in optimizing inventory levels, improving efficiency, and reducing costs. The specialist collaborates with the Facilities Supervisor and team to align inventory practices with organizational needs and objectives while ensuring compliance with policies and regulations.

The Inventory Specialist must demonstrate cultural sensitivity and effectively operate within a multicultural and Native American environment, contributing to the institution's mission and values.

Principal Duties and Responsibilities:

* Using asset management systems, including tools, equipment, maintenance supplies, surplus items, and capital assets, maintain accurate records of inventory levels.

* Conduct regular inventory audits and reconcile discrepancies to ensure data integrity, focusing on tracking and verifying capital asset inventory.

* Monitor stock levels and coordinate timely reordering of supplies to prevent shortages or overstocking.

* Collaborate with vendors to track orders, verify deliveries, and resolve shipment issues.

* Organize and maintain storage areas to optimize accessibility and ensure compliance with safety standards.

* Label inventory and capital assets with asset tags to ensure proper tracking and identification.

* Generate detailed reports on inventory status, capital asset inventory updates, usage trends, new equipment purchases, and cost analysis for the Facilities Supervisor.

* Assist in developing and implementing inventory and capital asset control procedures to improve efficiency.

* Ensure all assets, including capital assets, are properly maintained, inventoried, tagged, and recorded in accordance with organizational policies and regulatory requirements.

* Plan and assist with the disposal of surplus equipment and furniture, including capital assets, through the giveaways, auctions, or the Muscogee (Creek) Nation GSA department's surplus.

* Oversee all inventory, surplus items, and capital assets received in the warehouse, ensuring proper documentation and recording.

* Conduct periodic inventory assessments, including capital assets, for other departments as required.

* Notify the Business Affairs department when capital assets or other items are relinquished, transferred, or disposed of.

* Operate effectively within a multicultural and Native American environment, showing respect and sensitivity to diversity.

* Perform additional duties as assigned by the Facilities Supervisor or departmental needs.

Qualifications

Job Specifications:

* Minimum Requirements - High School Diploma required. At least two years of inventory experience, ideally within an educational setting.

* Preferred Requirements - A Associate's degree in a relevant field is preferred. Tribal College experience.

* Special Considerations - The ability to speak the Muscogee (Creek) language is preferable but not required. Native American and Veteran preference.

Licensure (if appropriate):

* Valid Driver's License.

Physical Requirements:

* Ability to lift and carry items weighing up to 50 pounds regularly.

* Occasional lifting of heavier objects with assistance or equipment.

* Prolonged periods of standing and walking while conducting inventory audits and managing storage areas.

* Frequent bending, stooping, or kneeling to access inventory stored on lower shelves or confined spaces.

* Ability to climb ladders or step stools to access inventory stored on high shelves.

* Proficient use of hands and fingers for handling small items, attaching asset labels, and operating tools and equipment.

* Sufficient visual acuity to read inventory labels, asset tags, and computer screens.

* Ability to distinguish colors for labeling or categorizing inventory.

* Ability to reach overhead or across shelves to retrieve or store items.

* Pulling carts or hand trucks loaded with supplies.

* Comfortable operating hand trucks, dollies, forklifts, or other inventory management tools (if required).

* Work may be performed in warehouses, storage facilities, or outdoor areas, with exposure to varying temperatures, dust, or other environmental factors.

* Ability to move freely across different facility areas, including warehouses, offices, and storage rooms.
