Job Description:Last Mile Pool SpecialistReports ToSenior Manager - Supply Chain, Variable FleetLast Updated DateObjectiveThe Last Mile Pool Specialist core responsibilities will include managing the variable fleet program processes through FleetView and other Wheels applications. The Last Mile Pool Specialist will be responsible for ensuring all vehicles within responsible stations are set up within the application, are in the correct pool and are systematically available for rental. The Last Mile Pool Specialist will work closely with Wheels' Regional Response Team for required Preventative Maintenance, Maintenance and Accident/Collision repair scheduling and on to resolve client escalations. The Last Mile Pool Specialist should be able to manage multiple competing deliverables while delivering excellent service to the client(s).Please note that this description is not all-encompassing as other ad hoc tasks are expected of the position.Essential FunctionsEssential Functions
  • Manage the variable fleet program rental vehicles through FleetView and other Wheels applications.
  • Responsible for ensuring all vehicles within responsible stations are set up within the application, are in the correct pool and are systematically available for rental.
  • Work closely with Wheels' Regional Response Team for required Preventative Maintenance, Maintenance and Accident/Collision repair scheduling.
  • Support team members with research and resolution on client escalations in a timely manner.
  • Cross-train with other pool manager(s) to serve as a backup and/or flex responsibilities based on volume.
  • Management of strategic program client processes within variable fleet business functions, which may include but not limited to:
  • Vehicle delivery and transportation confirmation, scheduling, and tracking
  • Manage the variable fleet cycle from order to end of life and provide support to clients where needed
  • Work cross-functionally to assist with all client questions/issues and work with other program specialists under the program director & the business to resolve
  • Cross-train with program specialists and other program team members to ensure continuity, coverage and to promote knowledge growth.
  • Perform functions in accordance with the contractual SLA between Wheels and the client.
  • Provide reporting to strategic accounts as needed to increase client's ability to manage their business effectively and efficiently, including agreed upon monthly or quarterly metrics.
  • Identify process efficiency opportunities for LeasePlan to improve upon and grow client satisfaction.
  • Assist to ensure that departmental processes are designed and implemented in a way to mitigate operational risks / losses.
  • Identify complex problems and review related information to develop and evaluate options and implement solutions.
Other Duties
  • Possess above average judgment, problem-solving and decision-making abilities. Consider the relative costs and benefits of potential actions to choose the most appropriate one
  • Meet and exceed all objectives and goals assigned to the specific key accounts.
  • Continually validate the client setup process to ensure accuracy and maximize efficiency both operationally and financially.
  • Review data integrity for all qualitative and quantitative system entries, including billing and reports provided to clients.
  • Constantly improve knowledge of LeasePlan systems, programs and services. Additional professional skills development may be provided by LeasePlan.
CompetenciesJob Specifications Leadership Responsibility: This position will include leadership responsibilities at an individual and inter-departmental level.Work Environment: This position is in Alpharetta, GA and operates in a professional office environment.Position Type/Standard Schedule: This is a full-time position, Monday through Friday; 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.Travel: Travel is not expected for this position but may be in scope for special projects.Education & Experience
  • Bachelor's Degree and/or 3+ years of prior client-facing experience working in the Vehicle Rental, Fleet, Financial Services or Tech industries required.
  • Fleet or rental operations experience strongly preferred.
  • Intermediate level or better knowledge of a contact management system, Microsoft Word, Excel and PowerPoint required.
