Duties Description Learns and applies legal concepts and follows procedures related to the production of legal documents, working independently while also regularly conferring with and following attorney instructions related to document contents and procedural steps.
* Produces neat and timely legal work, including pleadings, correspondence, Orders, Decisions, memoranda, opinions, affidavits/affirmations, jury charges, motions, subpoenas, deposition summaries, and other legal documents.
* Receive incoming telephone calls, transfer calls, and take messages accordingly.
* Receives documents, letters, emails, and faxes, and distribute accordingly.
* Proofreads legal documents for spelling, grammar, and punctuation.
* Scans documents for attorneys.
* Maintains office filing systems and assist attorneys with case file organization and management.
* Assists with data-keeping and the opening and closing of files, following office procedures.
* Creates Excel spreadsheets and keep track of entries.
* Learns and becomes proficient with the NYMatters database to assist in retrieving information and generating reports as necessary.
* Learns and becomes proficient with the Paper Archive Management database to assist with the archiving and retrieval of records.
* Appropriately responds to simple inquiries from the public, whether by phone, email, or in-person.
* Performs other duties and ad hoc tasks as necessary or assigned.
Minimum Qualifications NY HELPS:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE QUALIFICATIONS:*
* Law Department Document Specialist (LDDS) (CSEA SG 9, current starting salary $41,399, job rate $50,884):
18 months of experience supporting the work of attorneys, paralegals, and investigative staff by independently producing the legal documents that are required to support judicial actions.
* LDDS Trainee 2 (CSEA NS Equated SG 8, current starting salary $39,215, job rate $48,294):
One year of experience supporting the work of attorneys, paralegals, and investigative staff by independently producing the legal documents that are required to support judicial actions.
* LDDS Trainee 1 (CSEA NS Equated SG 6, current starting salary $35,177, job rate $43,521):
There are no minimum education or experience requirements.
* The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy. If appointed at the traineeship level, you will need to complete the required coursework to advance to the full LDDS SG-9.

Eligible for a lateral transfer or eligible for transfer under Section 70.1 of the Civil Service Law by having one year of permanent competitive service in an appropriate title. Positions located in New York City receive an additional $3,400 downstate adjustment location pay annually.
