Responsibilities: • Provide high-level administrative support to the Principal, including managing calendars, inboxes, scheduling appointments, and coordinating meetings. • Act as a liaison between the Principal and internal/external stakeholders, maintaining professional communication and confidentiality. • Prepare and edit correspondence, reports, and presentations with a keen eye for detail and accuracy. • Manage travel arrangements and accommodations, ensuring efficiency and cost-effectiveness. • Oversee the maintenance of office supplies and equipment, anticipating needs and proactively addressing any issues. • Assist with client intake processes and maintain client records using the Clio case management system. • Support the firm's marketing efforts by coordinating events, managing social media accounts, and assisting with content creation. • Develop and execute social media strategies to increase the firm's online presence and engagement. • Create and schedule content across various social media platforms, including LinkedIn, InstagramTwitter, and Facebook. • Analyze social media metrics and provide reports on the effectiveness of campaigns. • Collaborate with other team members to streamline workflows and improve operational efficiency. • Manage office facilities and vendor relationships, ensuring a clean, safe, and productive work environment. • Handle accounts payable and receivable, expense reporting, and other financial administrative tasks. • Implement and maintain office policies and procedures to optimize efficiency and compliance. • Greet clients and provide hospitality, ensuring a welcoming and professional atmosphere in the office. • Manage the Principal's email inbox and respond to emails as needed on the Principal's behalf, maintaining professionalism and attention to detail. • Answer phones, screen, and direct calls, and take messages as necessary. Qualifications: • Bachelor's degree preferred. • Minimum 3 years of experience as an Executive Assistant, preferably in a legal or professional services environment. • Proficiency in using the Clio case management system is required. • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. • Strong interpersonal skills and the ability to communicate effectively with individuals at all levels. • Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook). • Proactive problem-solving skills and the ability to anticipate needs and take initiative. • Experience with growing a small to medium-sized law firm is highly desirable. • Ability to maintain a high level of discretion and confidentiality. • Experience with social media management and digital marketing strategies. • Familiarity with social media analytics tools and ability to interpret data.
