About the OpportunityThis is an opportunity for a Leasing Administrator to work in the leasing department of a mid-sized Property Management company based in New York City which provides third-party management services to multifamily property owners, co-op, and condo buildings. The ideal candidate will be detail oriented, self-motivated leasing coordinator who can handle a variety of accounts. The candidate will have excellent communication skills and will be willing to participate in all aspects of the leasing department. The primary responsibilities are processing rental applications, drafting and executing new leases, handling all renewal leases, and various administrative tasks supporting the leasing functions.   • Prepare Rent Stabilized (RS), De-Controlled (DC) leases, according to mailing schedule and mail or email them to the residents
  • Process lease renewals, extensions, and re-qualifications
  • Track and update inventory on the 30-Day report and Renewal Activity Report
  • Provide weekly updates on upcoming inventory to Management
  • Communicate with tenants and Management on status of lease renewals
  • Request holdover actions to be commenced for failure to renew, failure to vacate and non-primary residence where applicable
  • Communicate with each tenant in arrears via email (3 rounds) providing tenant ledger and unpaid charges along with a follow up phone call to review tenant ledger and unpaid charges with tenants and respond to any tenant uncertainties
  • Note all correspondence with tenant and on the Arrears/Collections Master Spreadsheet for the applicable month
  • Correctly categorize the collections spreadsheet according to the status of the arrears and follow up on pending payments
  • Prepare and distribute Collections correspondence with tenants
  • Organize/ file paperwork, leases and keep file room current
  • Record new leases in leasing data base
  • Send out mailings for initial and annual apartment registration
  • Upload and organize documents, leases, and notices to internal file sharing platform
  • Update coop sales schedule for rents, maintenance fees, sales pricing, etc
Qualifications:
  • Must possess a high degree of proficiency with MS Office products including Word, Excel, Power Point, PDF Converter, and Outlook
  • Excellent analytical, interpersonal, communication, and organizational skills
  • Strong time management skills; ability to handle multiple concurrent assignments, with a high degree of accuracy, and meet deadlines
  • Able and willing to work independently, with minimal guidance in a fast-paced, demanding environment
  • Ability to meet deadlines while handling multiple tasks simultaneously
  • Knowledge of Yardi, Nestio, On-Site preferred
  • Associate's or bachelor's degree preferred
  • 1-3 years or more of real estate or related industry experience highly desirable
Compensation & Hours
  • Full time in person, Monday - Friday, 9am-5pm
