Job Description :

The Leasing Agent will assist in the search of apartments, complete field work as required, review leases, maintain a tracking system of apartments, and perform routine clerical and administrative tasks with supervision from the Leasing Administration Supervisor of the Leasing Department. Job responsibilities include, but are not limited to:

  • Highly Organized - Maintains and up-to date records of all lease agreements and related documents.
  • Works with Program and Leasing team to facilitate completion of the lease process both manually and electronically as instructed.
  • Field work, as required to assist with inspecting apartments, apartment measurements, delivering leases/checks and the collection/delivering of keys.
  • Review lease renewals to ensure all lease documents are accurate, complete and comply with company policies and NYC legal requirements.
  • Monitor lease schedule in excel to ensure renewals are received 60-90 days prior to expiration while facilitating correspondence with the landlord for the lease.
  • Updates and maintains the lease schedule using excel to ensure the rent, lease terms and program information is accurately recorded.
  • Ensures clear communication between various programs and departments.
  • Accountability - Able to set goals and timelines, being proactive with tasks, and takes responsibility for the work.
  • Works with Program and Leasing team to facilitate completion of the lease process both manually and electronically as instructed.
  • Establish relationships with new brokers and/or landlords to locate new apartments.
  • Conduct rent reasonableness analysis to verify that rental rates are fair and in compliance with regulatory requirements and organizational polices for ICL's HUD programs.
  • Answer general telephone inquiries from landlords and other ICL departments.
  • Support the Leasing team with various other tasks as needed.
Qualifications:
  • As part of a nonprofit focused on service provision, the context for this work is focused on improving the life of our clients. Strong candidates must have excellent oral and written communication skills, be organized, solution oriented, driven to take projects to completion and proficient in MS Office Suite.
  • Must have a High School diploma or equivalency. A minimum of 2 years administrative experience and/or in an office setting.
  • Must be able to proficiently use PCs, Microsoft Office Suite programs and have comfort especially in Excel and Word.

  • Ability to proficiently use Microsoft Office Suite (Outlook, Word, Excel, etc)
  • Ability to create and maintain spreadsheets for the collection of information
  • Ability to meet all deadlines and productivity standards

  • Ability to communicate effectively and in a professional manner
  • Ability to work independently, and to conform to all applicable safety and accountability measures
  • Knowledge of proper grammatical usage, punctuation and spelling
  • Ability to establish effecting working relationships with a variety of people at all levels in the organization.
  • Dependability - ability to report for work as scheduled on a consistent basis
  • Ability to understand and adhere to internal and extern laws, rules and policies.
