Responsibilities:
As a Legal Secretary/Personal Legal Administrative Assistant/Legal Practice Coordinator, you will be responsible for:
- Creating and communicating invoices and paying bills using QuickBooks Online and Legal Tracker;
- Assisting with ADP Payroll as necessary and reviewing staff time entries;
- Working closely with clients' accounts payables to resolve all invoices and accruals;
- Setting up matters in the internal document management system, profiling documents, and updating internal lists and reminders for corporate clients;
- Interfacing with clients via phone and email to gather information, conduct intake, and coordinate document transfer;
Managing confidential information, including calendars, meetings, speaking engagements;
Corresponding with clients regarding invoices, documents, and instructions, including sharing copies of filed cases with any appropriate redactions;
- Interfacing with outside vendors;
- Printing and assembling cases for filing;
- Creating FedEx mailing labels and coordinating daily pickup with FedEx drivers;
- Updating and creating presentation materials using internal information in Microsoft Power Point, when required; and
- Troubleshooting standard office equipment, as necessary.
Your qualifications:
- Strong attention to detail and precision in carrying out tasks;
- Excellent written and verbal communication skills;
- Keen organizational abilities;
- Excellent time management skills and the ability to track multiple priorities at once;
- Proficiency and familiarity with document management programs, Microsoft Office Suite, QuickBooks Online, Legal billing, iManage or NetDocuments, and other standard office software;
- Ability to take initiative while working independently and as part of a team;
- Interest in immigration policy and related topics;
- Proven ability to meet deadlines; and
- Associate's degree or higher and past experience working in professional services, preferably in a large law firm setting.
