The anticipated employment date is November 4, 2024, through the end of December 2024. There is some ability for flexibility with scheduling, however full-time availability is preferred. The position is open until filled. The purpose of positions in this classification is to perform legal secretarial, clerical and assistance to Trempealeau County prosecutors. The work is performed under the direction of the District Attorney. Essential Functions To perform this job successfully, an individual must be able to perform each essential function satisfactorily and in a timely manner. The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required or assigned.Maintain a general working knowledge of all areas of office operations with emphasis in the following areas: receptionist, pick up mail, vouchers, order supplies, juvenile delinquencies, juveniles in need of protection and services (JIPS), truancies, county ordinances, traffic, felony, misdemeanors, and miscellaneous.Drafts and types correspondence, memos, motions, affidavits, jury instructions, subpoenas, briefs, agreements, court forms, petitions, reports, warrants and other legal documents. Takes and transcribes dictation.Greets and screens visitors and telephone calls. Provides information to inquiries, complaints and concerns or refers to appropriate person or agency. Takes and relays messages. Routes telephone calls and directs visitors. Schedules appointments, meetings and conferences. Reviews court calendar to update office schedules and to assist with case preparation. Informs attorneys of appointments and court proceedings.Contacts various individuals and agencies such as witnesses, law enforcement officers, social service agencies, health care facilities, attorneys and others via telephone, to obtain information needed for prosecution and notify participants of court actions/appearances. Contacts Sheriff's Department to serve legal papers.Monitors case progress to notify participants and for documentation needs.Establishes and maintains case files for felony, misdemeanor, criminal traffic, non-crime traffic, juvenile delinquency, CHIPS and JIPS cases. Sorts, photocopies and distributes documents and other printed materials. Maintains Recovery Court files.Maintains confidentiality as appropriate.Opens, screens and distributes daily mail. Prepares billings and expense vouchers. Receives and disburses payments. Maintains the budget throughout the year.Attends court proceedings and takes notes as requested by prosecutor.Processes guilty pleas for traffic offenses. Coordinates motion hearings, pleadings and other procedures with Judge's office staff.Prepares case/file notes.Other duties as assigned.Knowledge, Skills, and Abilities Ability to classify, compute and tabulate data and information, following a prescribed plan requiring the exercise of some judgment. Ability to compare, count, differentiate, measure and sort information. Ability to assemble, copy, record and transcribe data and information.Ability to advise and provide interpretation to others how to apply policies, procedures and standards to specific situations.Ability to utilize a wide variety of descriptive data and information such as police reports, accident reports, petitions, complaints, investigation reports, court proceeding notices, subpoenas, motions, criminal records, medical records, vouchers, budgets, billing statements, court orders, warrants, computer software operating manuals, state statutes, memoranda, procedures, guidelines and non-routine correspondence.Ability to communicate orally and in writing with law enforcement personnel, Judges, Probation and Parole personnel, court clerks, attorneys, defendants and the general public.Ability to add and subtract, multiply and divide, and calculate percentages, fractions, and decimals.Ability to use functional reasoning in performing semi-routine functions involving standardized work with some choice of action.Ability to exercise the judgment, decisiveness and creativity required in situations involving the evaluation of information against measurable criteria.
