Legal Practice Assistant Buchanan Ingersoll & Rooney is a national law firm with a proven reputation for providing progressive, industry-leading legal, business, regulatory and government relations advice to our regional, national and international clients. We are currently searching for a Practice Assistant for our Long-Term Care Practice Group in our Princeton, NJ office. This position is responsible for providing support to a core group of Associates and Staff Attorneys and ensuring excellent customer service in a fast-paced legal environment. This is a visible role within the practice group and will manage a high level of responsibilities. Key attributes include sensitivity to detail, ability to successfully function with multiple priorities and the ability to problem-solve and anticipate issues/problems. Essential Duties and Responsibilities:
- Calendaring, including docketing court deadlines and events, scheduling depositions (virtual and in-person) and scheduling conference calls/video conferences with accuracy and timeliness.
- Coordinate travel arrangements.
- Create and submit expense reports using Firm's accounting system (Concur).
- Maintain contacts using the Firm's marketing CRM system.
- Assist in profiling emails using the Firm's electronic document management system (NetDocs).
- Set up shell documents using templates.
- Open new client and new matter files using Firm software, as needed.
- Work as a team with other Associate Coordinators and Practice Assistants to provide coverage for PTO and leaves.
- Other duties as assigned.
Required Education/Experience:
- A minimum of three years of experience in a professional service environment, preferably in a law firm.
- High school diploma required. College degree a plus.
- Litigation experience, required.
- Prior use of document management systems.
- Knowledge of e-filing procedures for the state of New Jersey, preferred.
- Possesses a high technical savviness.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel).
- Ability to organize and prioritize workload and to work in a fast-paced environment.
- Excellent written and verbal communication skills.
- Ability to understand and apply policies, procedures, formats and specialized terminology.
- Knowledge of medical terminology, preferred.
- Ability to professionally interact with clients, staff and other professionals.
- Proven work ethic.
- Ability to problem-solve and anticipate issues/problems.
- Ability to work overtime, as needed.
