A law firm in New York City is looking to add a new Legal Team Assistant to their growing staff. In this role, the Legal Team Assistant will be responsible for providing a range of secretarial and administrative support to professional staff / practice groups. Responsibilities: The Legal Team Assistant will:
- Identify and maintain accurate & complete records by following the firm's guidelines & policies
- Prepare & edit documents/spreadsheets; prepare revisions & blackline documents
- Proofread documents & check for appropriate formatting, spelling & grammar
- Conduct research utilizing internal and/or external databases and tools, as needed
- Organize & maintain complex electronic files, including the use of multiple electronic tools/databases, for the practice & individual Attorneys
- Validate & process vendor invoices for payment; follow-up with Accounts payable to confirm payment
- Assist the Attorneys & Billing Department with preparation of client bills
- Manage, maintain & update Attorney calendars & contacts
- Review, route & prioritize incoming & outgoing correspondence (hard copy & electronic)
- Receive & screen phone calls & take messages; receive & direct clients & visitors
- Coordinate travel arrangements, prepare itineraries & travel expense reports.
- Perform other duties, as needed
Qualifications:
- 3+ years of previous Secretarial and/or relevant Legal experience
- High School Diploma / GED
- Familiarity with Legal documents and terminology
- Computer savvy
- Microsoft Office Suite proficient
- Solid problem solving and time management skills
- Great interpersonal skills
- Excellent communication skills (written and verbal)
- Strong attention to detail
- Highly organized
Desired Skills:
- Associate's and/or Bachelor's Degree
