Job Summary:The Litigation Practice Assistant will provide comprehensive administrative and legal support to litigation attorneys in a fast-paced law firm environment. This role involves managing case files, assisting with document preparation, coordinating schedules, and ensuring effective communication between clients, attorneys, and other legal professionals. The ideal candidate will have extensive experience in litigation support, possess excellent organizational skills, and thrive under pressure.
This position is 3 days remote per week in New York, NY 10020.Responsibilities:
- Administrative Support:
- Provide high-level administrative assistance to litigation attorneys, including managing calendars, scheduling meetings, and making travel arrangements.
- Screen incoming calls and emails, prioritizing and redirecting inquiries as necessary.
- Prepare and proofread correspondence, legal documents, pleadings, and memoranda.
- Litigation Case Management:
- Assist in managing all aspects of the litigation process, from case initiation through discovery, trial, and post-trial activities.
- Maintain, organize, and update case files, including both electronic and paper records, ensuring accurate and timely filing.
- Coordinate with court clerks and opposing counsel to ensure compliance with deadlines and filing requirements.
- Document Preparation and Filing:
- Prepare, proofread, format, and finalize pleadings, motions, briefs, and discovery documents.
- Electronically file court documents (e-filing) in federal and state courts, and keep track of filing deadlines.
- Assist attorneys with preparation for depositions, hearings, trials, and mediations, including preparation of exhibits and trial binders.
- Research and Coordination:
- Conduct basic legal research to assist attorneys with case preparation.
- Coordinate discovery processes, including document production, subpoenas, and responses to interrogatories.
- Liaise with clients, court personnel, expert witnesses, and third-party vendors.
- Billing and Time Entry:
- Manage attorney time entry and billing by tracking billable hours, ensuring compliance with firm policies.
- Assist in generating client invoices and resolving any billing issues.
- Special Projects:
- Assist in organizing and coordinating special projects, including case strategy meetings, conference calls, and trial preparation.
