This position works closely with loan officers. The Loan Documentation Specialist ensures that The Maries County Bank policies and procedures relating to loan documentation are followed by loan personnel. Essential Job Functions:
  • Receives and distributes mail containing loan documentation.
  • Ensures loan information is complete and accurate after loan is closed.
  • Sets up and maintains computer files which notate loans with outstanding documentation and makes requests for the documentation as the due date approaches.
  • Ensures that Customer Identification Program (CIP) and Office of Foreign Asset Control (OFAC) verifications have been completed correctly.
  • Reviews new loans on a daily basis to ensure the proper loan documentation has been obtained.
  • Creates loan extension and modification documentation.
  • Ensures bank loan records are properly archived and stored in a secure area.
  • Types and mails applications for vehicle titles.
  • Examines the loan information entered into the computer system on a daily basis to ensure loan data is correct and complete.
  • Files loan documents such as financial statements, credit files, income tax statements, loan extensions and other information as deemed necessary by the bank's loan compliance policies.
  • Files UCC's, Notices of Lien, and UCC continuations over the Internet and through the mail.
  • Types deeds of release and lien releases.
  • Requests and produces flood determinations as needed.
  • Provides and updates loan status reports to management on a regular basis and attends loan meetings as needed.
  • Employs Loan Policy Documentation standards pertaining to supporting documents.
  • Assists with problem resolution discussions for loan staff and customers.
  • Offers recommendations and actions to improve loan strategies when necessary.
  • Advises and assists lending officers as needed.
  • Serves customers in a cordial and professional manner to ensure customer satisfaction.
  • Maintains strict privacy regarding customer information.
  • Follows bank policies and procedures, including state and federal regulations at all times.
  • Assists customers with problem resolution and upholds customer service guidelines.
  • Prepares and files reports with government agencies as directed by law.
  • Maintains departmental appearance, both personal and general.
  • Actively cross-sells bank services to customers.
  • Takes advantage of opportunities to promote the Bank when involved in voluntary community activities and civic organizations to cross sell the Bank's products and services.
  • Completes other duties as assigned and assists in other departments as needed.
QualificationsJob Requirements:
  • High school diploma or equivalent.
  • Associate's degree in business or equivalent experience.
  • Two years prior experience in a financial institution or lending office environment preferred.
  • Prior experience with loan application software, policies, procedures, and documentation preferred.
  • Working knowledge of bank products and services.
  • Prior experience working within a team environment preferred.
  • Ability to perform loan analysis and cash-flows as directed by Loan Officers.
  • Knowledge of computer systems and changing technology, including word-processing, spreadsheets, Internet, e-mail, and internal bank software.
  • Ability to utilize general office equipment such as typewriters, copy machines, calculators, and fax machines.
  • Prior cross-selling experience preferred.
  • Ability to plan, prioritize, meet deadlines, and work under pressure.
  • Demonstrated problem solving abilities.
  • Strong analytical skills.
