Job Description:

This role provides support and guidance for daily operations as it relates to import and domestic shipments of commercial, clinical, and R&D products. The Logistics Coordinator will support and work in association with internal departments, such as Supply Planning, QA, and Tech Ops along with external customers to build and maintain partnerships and customer relations.

The Global Logistics Coordinator will provide communication and routing instructions to Company's global contract manufacturing organization (CMO) partners for product imports to Company designated distribution locations. The role will provide communication and routing instructions to Company's CMOs for products manufactured within the US and the international community to Company designated distribution locations as well as provide shipping documentation, carrier selection, and receipt confirmation to Supply Managers.

This position is responsible for all documentation, communication and ERP system transactions associated with domestic and import transportation management of various Company products. These transactions follow all physical product movements to ensure accurate product traceability.

This position is responsible for Trade Compliance and will follow all US regulations for importing. This position is accountable for Trade Compliance activities, including assisting to resolve issues with any import where Company is the importer of record, working with agencies such as US Customs, FDA, USDA, DEA, CDC, and Fish & Wildlife to ensure compliance adherence.

Other responsibilities include but are not limited to freight forwarding selection, customs brokerage clearance, communication with forwarding companies throughout the shipping process, carrier selection from port to Distribution Center, advanced shipping notification communication (ASN) and receipt confirmation to Supply Managers.

Essential Functions

  • Create commercial and pro forma invoices, USDA statement, pack slips, and domestic bills of lading as well as review incoming import documents for accuracy and compliance.
  • Work closely with key stakeholders such as Supply Planning, Quality Assurance, 3PLs, and CPOs to ensure business, customer, and compliance requirements are met in distribution and logistics processes.
  • Work with customs brokers to ensure US Customs, FDA, USDA, and DEA compliance to prevent delays of inventory clearance for US imports.
  • Ensure compliance with CTPAT rules and regulations.
  • Organize, collaborate, and execute in a dynamic workplace environment while balancing priorities to meet internal and external customer needs.
  • Handle issues with hazardous shipping.
  • Oversight of domestic and import transportation management.
  • Responsible for coordinating inbound and outbound dedicated truck shipments to and from 3PLs.
  • Provide daily monitoring and management of the Company SAP/ERP system to the distribution interface for Company 3PLs. This includes monitoring of all receipts, inventory adjustments, shipments and returns.
  • Ensure inventory balances are aligned by working with the 3PL to investigate and resolve discrepancies.
  • Accountable for documentation review and auditing retention.

Requirements:

Education:

Associates or undergraduate degree in Logistics (preferred); or relevant experience

Technical:

  • 2+ years' experience in global logistics and trade compliance required
  • 2+ years' experience in pharmaceutical industry highly preferred
  • Import/export certification training preferred
  • Hazardous shipping experience; certification a plus
  • SAP warehouse management module proficiency
  • Experience with Trade Compliance laws and regulations, specifically around FDA, USDA, and US Customs regulations
  • Must have knowledge and experience with Incoterms, harmonized tariff codes, US Customs import regulations, FDA product codes, and US Customs' recordkeeping requirements
