After this period, if necessary, we will extend the opportunity to external candidates.Job Overview:The Logistics Specialist is responsible for ensuring the smooth and efficient operation of logistical activities that support the resettlement of newly arrived refugees. This includes securing safe, affordable housing, coordinating the setup of client homes, managing transportation needs, and overseeing the procurement and distribution of necessary supplies. The Logistics Specialist works closely with property managers, vendors, and internal teams to ensure that all logistical operations are executed in a timely and compliant manner. Additionally, they provide support to clients during their orientation and resettlement process, ensuring they have access to essential services and resources. This role requires strong organizational skills, the ability to manage multiple tasks simultaneously, and a commitment to providing high-quality service to clients.Major Responsibilities:Responsibilities include, but are not limited to:
  • Housing Coordination: Identify and secure safe, affordable housing for newly arrived refugees, ensuring compliance with program requirements. Work directly with property managers and landlords to ensure the housing is maintained, safe, and suitable for clients. Follow up on any home repair or safety issues and manage the process for resolving them.
  • Logistics Support: Handle all logistical aspects of resettlement services, including arranging transportation for airport arrivals, medical appointments, and other service needs. Oversee the setting up of homes for new arrivals, which includes coordinating furniture delivery, utility hook-ups, and lease signings.
  • Procurement & Inventory Management: Establish and maintain relationships with local suppliers and vendors to procure necessary furnishings and supplies. Maintain accurate records of all items ordered, ensuring compliance with IRC and donor requirements. Handle purchasing, inventory management, and vendor communications, focusing on cost-effectiveness and efficient resource allocation.
  • Warehouse & Distribution Operations: Ensure that an effective system is in place to manage the warehouse and distribute furnishings and supplies to new arrivals. Manage inventory levels and ensure that all distributions meet program standards and timelines.
  • Collaboration & Coordination: Maintain consistent communication with internal program staff to coordinate logistics and ensure smooth transitions for clients. Develop and nurture relationships with landlords, vendors, and service providers to ensure a seamless process for housing and logistics needs.
  • Compliance & Documentation: Adhere to IRC's operational procedures and maintain accurate documentation for all logistics and housing-related activities. Ensure all necessary records are updated for compliance and reporting purposes.
  • Client Services & Orientation: Assist with client orientation, ensuring that newly arrived refugees understand how to access services and settle into their new community. Provide interpretation services and other forms of support as needed.
  • Travel & Transportation: Utilize a personal, insured vehicle or public transportation to transport clients and materials throughout the service area, ensuring that logistical needs are met in a timely manner.
  • Additional Tasks: Support the logistics team and other departments as needed and take on other responsibilities assigned to improve the program and delivery service.Job Requirements:Preference:Bilingual or multilingual candidates are strongly preferred. Proficiency in additional languages relevant to the client population is a plus.Education:Bachelor's degree in social work or related field of study preferred.Work Experience:
    • Minimum of 1 year of relevant professional experience required.
    • Experience working with refugee and/or immigrant populations preferred.Demonstrated Skills & Competencies:
      • Strong interpersonal, diplomacy, and networking skills with the ability to effectively build and maintain both internal and external relationships.
      • Proven experience in working and communicating effectively in multi-cultural settings.
      • Self-motivated with excellent problem-solving abilities, adept at multi-tasking, prioritizing tasks, and managing time efficiently.
      • Exceptional organizational, planning, and logistical skills.
      • High attention to detail and accuracy in all work tasks.
      • Capable of lifting up to 50 lbs. regularly.
      • Fluent in English, both written and spoken.
      • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and skilled in utilizing digital tools for data entry, research, and problem-solving.
      • Valid driver's license with access to a personal, insured vehicle.Working Environment:
        • A combination of standard office environment, remote work, and 'field' time within the service delivery area to perform the above outlined responsibilities.
        • May require occasional weekend and/or evening work.Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget.
