Collegiate School seeks a committed and enthusiastic Lower School Administrative Assistant to provide overall support to students, faculty, and families. The Administrative Assistant will work closely with the Head of the Lower School, the Assistant to the Head of the Lower School, and other support team on the many logistical responsibilities that help to fulfill the daily operations of the Lower School Office. The ideal candidate will work with the entire team to help build a healthy culture that cultivates student agency, inclusion, growth, discovery, and joy as it connects with Collegiate's Portrait of a Graduate. This position reports to the Head of the Lower School, and it is a full-time 10.5-month position (not overtime eligible) with a rotating schedule in the summer (on/off each week), in addition to eligible benefits. General Responsibilities include:

  • Serves as the Lower School Receptionist, greeting and assisting visitors and other general office duties as assigned including answering phone calls to the Lower School Office, greeting and assisting visitors, and serving as the primary point-person for families upon arrival.
  • Runs reports in PowerSchool, our student information system (SIS), including daily attendance records, class rosters, schedules for students/teachers, report cards for parents, birthdays, and many more.
  • Updates PawNet parent resource board; additional handouts and information.
  • Place maintenance requests for necessary work orders.
  • Compose and send the Daily Bulletin on our Lower School Faculty Site about important updates for the next day: schedule, special events, room assignments, upcoming calendar, lunch menu, etc. Additionally, responsible for sending out the LS Weekender communication on Friday afternoons and supporting work on the Lower School Letters.
  • Supports and coordinates many other logistical tasks for the Head of the Lower School, the 2 Assistant Heads of the Lower School, nearly 95 faculty/staff members, and over 600 Lower School students.
  • Working with the Lower School Head and Assistant Lower School Heads providing administrative support, and performing the following routine duties:
  • word processing: programs, letters, documents
  • spreadsheet development
  • budget support
  • order supplies for the teacher workroom, classroom supplies and invoicing
  • manage report card distribution
  • assist with speech, OT and CTP testing
  • coordinates Picture Day for the Lower School
  • plan end of the year employee lunches

  • Performs data entry accurately and efficiently.
  • Proficiently uses Google Suite (Docs, Forms, Sheets, and Slides).
  • Engages in self-study to improve data skills.
