About the Role:

We are seeking a proactive, organized, and detail-oriented Assistant Maintenance Coordinator to support the Maintenance Project Manager. In this role, you'll play a key part in managing both administrative tasks and on-site property inspections. This position offers a unique blend of hands-on fieldwork and office-based duties, making it a great fit for someone who enjoys variety in their day-to-day work.

What You'll Do:

Maintenance Work Order Management:

  • Review incoming work orders and coordinate with the Virtual Assistant to gather tenant information and troubleshoot as needed.
  • Determine the appropriate course of action for each work order and schedule maintenance technicians accordingly.
  • Track work orders to ensure repairs are completed in a timely manner and create work orders for corrective actions as necessary.

Turnover Project Scopes:

  • Conduct move-out inspections to assess unit conditions and damages.
  • Develop project scopes for unit turnovers and create work orders for the necessary repairs.
  • Perform walk-throughs post-turnover to ensure all punch list items are completed.

Inspection Management:

  • Attend and coordinate property inspections for Section 8 and borough-required occupancy inspections.
  • Create and track work orders for any repairs resulting from inspections and ensure re-inspections are scheduled within the required time frames.

Emergency Response:

  • Follow the company's on-call schedule and coordinate technicians or external vendors for emergency repairs (e.g., leaks, power outages, safety hazards).

What We're Looking For:

  • 1-5 years of experience in property management, maintenance coordination, or a related field.
  • Ability to work both on the computer and in the field (you'll spend time reviewing work orders but also conducting property inspections).
  • Strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment.
  • A collaborative team player with a passion for customer service and problem-solving.
  • Comfort working in a role that balances administrative responsibilities with hands-on property tasks.
