Job Summary and Qualifications Responsible for high-level administrative support to Administration, Volunteers and other operational units as assigned. Plan, organize and control the administrative and operational activities of the Executive Assistants and/or assigned staff. Operate Administrative Services in accordance with the financial and operational philosophies of MHS while ensuring compliance with the various inspecting entities. Manages, oversees, and supervises the assigned staff that operate within the hospital.
Essential Job Functions: 1. Provides administrative support to the CEO/COO/Division Executives including by not limited to incoming/outgoing correspondence, minute taking, presentation materials, maintaining executives' calendars, coordination of meetings/special events, and travel arrangements including transportation, lodging and itinerary. 2. Prepares variety of highly confidential, specialized and recurrent reports using word processing, spreadsheet, and database and / or presentation software. 3. Manages special projects as assigned. Plans and delegates assignments, conducts research, gather and compiles information for presentation, may prepare reports. 4. Manages the assigned staff in the department to include budget. 5. Supervises assigned staff to include recruitment, orientation, training, competencies, and scheduling. 6. Responsible for assuring staff compliance with hospital policies and procedures, and regulations regarding JCAHO and HIPAA standards.
Minimum Education, Experience, Training, Required Knowledge, Skill, Abilities and Other Job-Related Characteristics: Education: High School Graduate Experience: Five years prior work experience in a service industry and two years supervisory or management experience. Employee completes initial and ongoing training and competencies as defined by service line, facility and department/unit which are specific to the needs of the patient population served (if applicable).
