About the Opportunity

The Manager of Advance is responsible for working closely with the Director of Scheduling and in managing logistics and planning around President Clinton, Secretary Clinton and Chelsea's Foundation-related domestic and international travel. The Manager will manage event and advance logistics including travel accommodations, slating, and managing advance teams, assisting in managing production teams and vendors, coordinating use of planes, and overseeing close coordination with USSS. This job will also require significant travel both international and domestic, often after-hours, late nights, and over weekends, holidays.

The Manager will work very closely with the Office of William J. Clinton ( OWJC ), Office of Hillary Rodham Clinton ( OHRC ), and Office of Chelsea Clinton ( OCVC ), and the Clinton Foundation team to handle any logistical challenges that may occur during travel. The Manager will also be the primary contact for friends, donors, VIPs, guests, elected officials, invited to events. This will require a high level or organizational skills, tracking, inviting, problem-solving in real time, as well as relevant follow-up. The Manager will also collaborate with all appropriate parties, including the Foundation's Finance Manager on advance related reimbursements and travel bills, as well as assist in being proactive with budget/cost control for events and trips.

The Clinton Foundation Marketing and Communications team is responsible for developing external communications, campaigns, and creative content in service of advancing the work of the Clinton Foundation and understanding of President Clinton's lifetime of public service. This team of communicators is comprised of writers, marketers, producers, media specialists, content and digital strategists, metrics and data analysts, and creative professionals.

Core Responsibilities

Advance

* Serve as primary advance staff for principals' appearances, when necessary, providing both advanced trip planning and on-site staffing, while collaborating with the scheduling team and the personal offices to manage all logistics.

* Secures travel accommodations for the principals, traveling staff & delegates. Coordinate between personal offices, the Clinton Foundation, and United States Secret Service to address any security-related and logistical concerns.

Team Management

* Slate capable advance teams for all domestic and international trips.

* Coordinate with the personal offices and the Clinton Foundation where applicable to designate and manage advance teams for all domestic and international trips.

* Manage all advance teams for all domestic and international travel.

* Train new advance staff and manage/select advance volunteers.

Vendor Management

* Negotiate to procure planes for principal travel, where appropriate.

* Troubleshoot plane problems, timing issues and other related matters

* Manage certain vendor relationships associated with advance as needed.

Visa & Budget Management

* Work with local NYC State Department & foreign consulates to secure visas as necessary

* Work closely with the Foundation's Finance Manager to develop and maintain an accurate budget for all trips

Guest Relations & Management

* Work with team to manage and connect with Foundation friends, donors, VIPs, guests, elected officials, invited to events.

* Keep organized lists of guests invited, outreach, problem-solving, relevant follow-up.

There will be other duties assigned.

Minimum Qualifications

What we're looking for:

* Lives in NYC

* Bachelor's degree or equivalent experience.

* Minimum Required: 4-5 years of professional experience in the field in positions of increasing responsibility. At least 1 of those years must have been working on a campaign or with a high profile executive.

* Preferred: Political/Campaign Experience helpful, but not required. Work with an NGO helpful, but not required.

* The ability to handle complex and evolving projects with constant last minute changes and adjustments being made

* Ability to work under stressful situations that require a certain level of attentiveness and precise execution for complex schedules and trips

* Being able to work with and manage complex personalities with a diplomatic approach

* Experience or willingness to work with an extensive amount of diplomatic awareness

* Ability to manage confidential information in a constant, fast-past work environment

* Exceptional work ethic and attention to detail

* Ability to work in a varying schedule including nights, early mornings, weekends and holidays.

* Ability to travel domestically and internationally, and work on multiple time zones, as necessary.

Compensation & Benefits

Our best estimate of the compensation range for this opportunity is $75 - 80K annually, depending on the experience you bring. This role is exempt for overtime pay. This range is based on NYC market rates and may be adjusted if you will be working remotely.
