Hours: Full-time

Job Grade: 8

General Summary: Manages the gift processing operation within the guidelines of federal, state, and local laws and office, division, and college policies and procedures. Ensures timely and accurate updates of constituent records. Reports to the senior director of advancement services and works closely with staff in development, alumnae relations, and accounting. Interacts frequently with alumnae, donors, and representatives of financial institutions.

Essential Job Functions:

* Manages all areas of the gifts processing operation, including recording donations, depositing checks, managing remote donation hardware, issuing receipts, thanking donors, booking pledges, processing monthly credit card donations, issuing write-offs, adjusting gift records, creating appeal codes, and issuing monthly and quarterly pledge reminders.

* Maintains compliance with IRS guidelines, CASE standards, and Agnes Scott College's gift policies during all gift processing activities.

* Coordinates closely with accounting staff and budget officers to reconcile gifts against the general ledger on a daily basis.

* Utilizes online reporting tools to review and process various types of gifts, including stock gifts, wire transfers, matching gifts, and online transactions.

* Records and manages gift tributes, such as honor and memorial gifts, and compile donor lists for publication in the annual report.

* Participates in the annual financial audit by providing necessary documentation and support.

* Manages both physical and digital file systems to ensure the security and accessibility of gift records.

* Supervises student worker(s) assigned to gift processing tasks and provide training and support as needed.

* Assists the Senior Director of Advancement Services with database management and conduct regular reviews to ensure data integrity.

* Coordinates the setup of new funds in the database and communicate relevant information to appropriate staff members.

* Prepares and distributes daily and weekly gift reports, as well as other reports as requested by management.

* Stays informed about technological advancements and update gift processing procedures accordingly to optimize efficiency and accuracy.

* Provides backup assistance for inputting donor biographical information when necessary.

REQUIREMENTS

Education: Bachelor's degree in Business Administration, Finance, Accounting, Nonprofit Management, or a related field.

Experience: Minimum three years of experience in gift processing, database management, or financial administration, preferably within a nonprofit organization or educational institution.

Knowledge/Skills/Abilities:

* Proficiency in MS Windows, previous experience with the Raiser's Edge software is strongly preferred.

* Ability to analyze and extract data from various sources.

* Experience using online research tools

* Ability to communicate effectively

* Demonstrated ability to maintain a high standard of professional courtesy, flexibility, and independent work.

* Demonstrated ability to maintain a high level of confidentiality.

* Irregular hours may be required on an occasional basis.

PHYSICAL DEMANDS

Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of light objects. Work is performed in an office.
