Key responsibilities include:*Leadership & Team Management:** Inspiring and motivating employees to meet job objectives.* Clearly defining expectations and maintaining composure under pressure.* Coaching, mentoring, and developing staff, including training and cross-training core team members.*Operational Oversight:** Managing the back-office team as a traffic controller to ensure efficient clinic flow and timely provider schedules.* Overseeing daily task assignments, including prescription refills, EMA tasks, voicemails, and ensuring staff adhere to break schedules and proper payroll procedures.*Communication & Collaboration:** Maintaining effective communication with physicians, front desk staff, and the practice manager regarding patient scheduling, walk-ins, and workflow adjustments.* Supporting the practice manager with scheduling adjustments, time off, and coverage issues.*Compliance & Inventory Management:** Ensuring adherence to all policies, procedures, and regulatory protocols (e.g., instrument cleaning, sterilization, and COVID protocols).* Assisting in managing clinic inventory and maintaining the CLIA portal for compliance.* Collaborating with the Practice Manager on back-office inventory orders and conducting timely staff performance reviews.This position requires a strong blend of leadership, critical thinking, conflict management, and operational coordination skills to maintain a productive and compliant clinic environment.*Education: ** High School diploma or GED required.* Certified Medical Assistant preferred.* Medical Assistant training is required.*Qualifications/Experience: ** Minimum of 3 years of medical assistant experience is required.* Minimum of 2 years of medical office management is required.* Minimum of 2 years of dermatology experience is required.*Performance Requirements:** Knowledge of clinic and company policies and procedures.* Knowledge of medical terminology and insurance practices.* Knowledge of Nextgen or EMA computer programs and applications.* Knowledge of CPT and ICD-10 coding.* Knowledge of managed care, Medicare, and Medicaid guidelines.* Skill in effective personnel management including training staff and delegating duties.* Skill in written and verbal communication.* Ability to work effectively as a team member with physicians and other staff.* Ability to respond timely to changing demands.* Ability to plan, organize, prioritize, and direct the work of others.* Ability to establish and maintain effective working relationships with patients, employees, and the public.* Prior experience interviewing candidates and determining staffing needs.* Experience managing patient issues.*Our competitive benefits package includes the following:** Medical, Dental, and Vision insurance* Short-term/Long-term disability* Life and other voluntary plans* 401(k) plan* Employee Referral Program* Paid Time-Off* Company-Paid Holidays*Equipment Operated:* Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.*Physical Requirements: *Must possess manual dexterity to operate office machines including computer and calculator; stooping and bending to handle files and supplies; and mobility to complete errands or deliveries.
