The Medical Call Center Specialist position works with the Sedgwick County Health Department (SCHD) clinic team to provide excellent customer service for people seeking health information and clinic appointment scheduling. The position answers calls from the public regarding services, medical appointments, and other vaccine-related disease and health-related questions. Schedules medical appointments for Preventive Health services according to program guidelines. Serves clients with a friendly and professional demeanor. Processes client data and ensures client confidentiality. Ensures fiscal processes comply with departmental policies and procedures. Preventive Health services include Immunizations, Family Planning, and Sexually Transmitted Infection Clinics. Provides Spanish interpretation to Spanish-speaking clients as needed.
Serve as primary Call Center Specialist for SCHD
* Talk to the public, businesses, agencies, and organizations over the phone and in-person using good customer service and listening skills.
* Schedule clinic appointments based on client needs, clinic availability, and program eligibility as outlined in program flowcharts and algorithms.
* Provide accurate and up to date information related to vaccine-preventable diseases and other health-related topics to the public in accordance with CDC and program guidelines.
* Respond appropriately to misinformation using approved Health department communications
* Accurately and timely route calls as needed to medical staff, epidemiologists, SCHD supervisors, or agency partners.
* Assist Spanish speaking clients when needed
Ensure accurate documentation of client data
* Scan and name patient forms and upload into electronic health record system
* Accurately enter data into electronic health record and other electronic tracking systems as needed
* Conduct timely audits of data to verify information is correct and complete
* Correct errors in a timely manner
* Follow HIPAA policies
Perform other administrative duties
* Track call types and call volume, analyze trends and report through a standard report and distribution process
* Assist with collecting payments by phone as needed
* Follow up with patients who miss scheduled appointments
* When needed, perform check in and check out of clients in person at SCHD clinic.
* Assist supervisor with administrative tasks
* Communicate needs, concerns, and issues to supervisor
* Assist in training new staff
Minimum Qualifications: High school diploma or equivalent. Must pass Workforce Center English/Spanish fluency testing with a score of 85% for fluency and 70% for office grammar and spelling to be completed after interview.
Preferred Qualifications: Two years of work experience in a medical field completing patient assessments. Certification as a Medical Assistant or Certified Nursing Assistant
