Medical Office Assistant - Position Overview
  • The Medical Office Assistant answers all incoming calls; greets and directs visitors who enter the CBHS Outpatient Clinic; takes and processes payments from clients.
  • Additional responsibilities include assisting with the verification of benefits for new clients, scheduling follow-up appointments at client check-out, supporting the Clinic Manager, and Outpatient Clinic staff as needed.
Job Responsibilities:
  • Greets clients and vendors entering the clinic is a pleasant, professional manner
  • Provide new clients with intake and new client forms as well as copies of clinic policies and legally required documents.
  • Verifies insurance benefits for all new clients.
  • Take payment upon check-in for all new and established clients.
  • Responsible for reconciling end of day cash collections.
  • Demonstrate an ability to enter, coordinate, and adjust patient appointments as needed for all clinicians.
  • Demonstrate the ability to maintain and communicate multiple schedules for each clinician.
  • Ensure that the clinic has daily schedules available to clinical staff.
  • Coordinate with Manager and Medical Administrative Specialist to incorporate blocks into clinician's schedule to identify all available time slots for scheduling purposes.
  • Assist with creating and uploading the upcoming scheduled appointment report file into Tavoca on a daily basis to confirm appointments prior to 48 hours of service.
  • Assist in maintaining Back Fill List for all clinicians via Microsoft Teams and all appointments canceled within 48 hours will be backfilled.
  • Demonstrate the ability to effectively communicate and assist outside providers, physicians, and other referral sources in scheduling initial and follow-up appointments for clients.
  • Provide excellent customer service to both clients and internal or external referral sources.
  • Assist as needed in collecting and entering new patient demographics and update information as needed.
  • Assist as needed in the office/clerical requirements in the clinic.
  • Answer the phones exhibiting professional telephone etiquette within three rings
  • Attends staff meetings as required.
  • Maintain confidentiality and adherence to the Organization's policies regarding Protected Health Information.
  • Assists in performing other duties as required by management.
  • Meet Key Performance Indicators 100 % of the time.
  • Must complete all required trainings within specified timeframes.
  • Additional duties as assigned.
Required Qualifications:
  • Must have a high school diploma and one (1) or more years' experience as front desk medical office personnel.
  • Prior word-processing and computer knowledge experience are required.
