Job DescriptionAt NorthBay Health, the Medical Staff Coordinator, this position is responsible for medical staff administrative functions; credentialing and re-credentialing functions; departmental projects; accreditation, regulatory, and health plan surveys; and/or resource functions, as defined below. All staff members are expected to participate in surveys, to serve as a resource and have assigned departmental projects. The Medical Staff Coordinators provide these functions for NorthBay Healthcare Group, Hospital and Medical Practices Division, and for the NorthBay Surgery Center VacaValley.
- Medical Staff Support (administrative) functions as assigned:
- Provides administrative support to the Medical Staff Services Department and the Medical Staff Leadership.
- Supports assigned medical staff meetings through preparation of agendas, minutes, reports, and correspondence.
- Responsible for the flow of information between departments, committees, and leadership.
- Facilitates the work of assigned committees such as tracking unfinished business, and forwarding items through the medical staff approval process.
- Performs credentialing responsibilities in an expeditious manner to bring on new physicians, licensed independent practitioners (LIPs) and Allied Health Practitioners (AHPs), in accordance with department policies.
- Responsible for all credentialing/privilege delineation and re-credentialing/privilege delineation processes ensuring that all credentialing/privileging criteria are met. Credentialing is accomplished per time requirements and all members and AHPs are re-credentialed every two years.
- Performs other administrative duties as assigned including but not limited to: maintaining medical staff and Emergency Department call schedules, preparing and tracking ballots, tracking policies through the medical staff approval process, and monitoring and tracking medical and AHP students.
- Assists with special departmental projects as assigned.
- Assists with accreditation, regulatory, and health plan surveys as assigned.
- Serves as a resource related to the Medical Staff Bylaws, Rules and Regulations and policies.
- Maintains familiarity with regulatory requirements such as The Joint Commission (TJC), National Committee for Quality Assurance (NCQA), Accreditation Association for Ambulatory Health Care (AAAHC), and California Department of Public Health (CDPH) Title 22 as they pertain to the functioning of the medical staff.
- Credentialing and Re-credentialing functions as assigned
- Must have knowledge of the FPPE process as it relates to credentialing processes. Departmental Projects as assigned:

Serves as a resource related to the Medical Staff Bylaws, Rules and Regulations and policies. Maintains familiarity with regulatory requirements such as The Joint Commission (TJC), National Committee for Quality Assurance (NCQA), Accreditation Association for Ambulatory Health Care (AAAHC), and California Department of Public Health (CDPH) Title 22 as they pertain to the functioning of the medical staff. Qualifications
Education: - High school graduate or equivalent preferred.
- Associates Degree (A.A) or 5 years of experience may substitute for the AA.
- Medical terminology course/training preferred.
Licensure: None
Experience: - Minimum of three to five years of experience in a healthcare office environment supporting administrative functions is required.
- Minimum of two years of experience supporting medical staff leadership and credentialing experience preferred.
Skills: - Must possess a high degree of organizational skills and attention to detail.
- Demonstrated experience in managing multiple priorities required.
- Excellent oral and written communication skills required.
- Knowledge of Standard English with effective writing and editing principles and practices.
- Ability to type 40 words per minute.
- Ability to work independently on complex and confidential tasks, compose effective and accurate correspondence.
- Must possess the ability to work independently and solve problems in a busy office environment.
- Requires high level of independent decision making and problem-solving skills.
- Requires mastery of software applications (i.e., Word, Excel, and PowerPoint) and dictation equipment.
- Credentialing database management experience, desirable.
- Professional appearance and demeanor.

Hours: - 8-hour day shifts with 30-minute meal break, Monday through Friday. Start time varies as required by business needs as established by schedule. Flexible hours as required by job duties and business needs. Occasional attendance required at evening meetings usually 2 to 8 times per year.
Compensation: - Pay range is $33.42 - $36.84 per hour (offered based on years of experience)
