Description: Job Title: Membership Director Department: Membership Location: Troy Clubhouse (Primary), Albany Clubhouse (Secondary) Reports to: Chief Operations Officer Salary: $22-$26/hr Hours & Schedule: 40hrs/week, evening availability required Benefits: Vacation time and sick time, 401(K), health and dental insurance, life insurance, long-term disability, retirement benefits, employee assistants program (EAP) and eligibility for additional third-party discounts. The primary function of the Membership Director will be to direct all aspects of membership for the clubs including recruitment of new members, retention of existing members and supervision of assigned staff while maintaining the membership database and implementing new procedures to achieve strategic goals. Under the direction of the Chief Operations Officer, this position plays a key role in operations, community engagement and staff development at the Boys and Girls Clubs of the Capital Area. KEY ROLES (Essential Job Responsibilities): Membership Operations and Staff Leadership Direct and supervise all membership operations to meet BGCCA objectives and ensure compliance with state, local, BGCA, and safety regulations. Recruit, hire, train, develop, and evaluate membership personnel and volunteers Create and implement comprehensive front desk procedures and policies Serve as Director on Duty as scheduled, maintaining visibility and accessibility to members and staff Cover front desk operations for approximately 10 hours per week Foster effective communication and provide mentorship to develop high-performing teams Model relationship-building skills and active listening in all interactions Strategic Outreach and Community Engagement Promotes program and membership enrollment in interactions with existing and potential members. Coordinates program registration, including logistics to support phone, walk-in and web registration (if applicable). Develops, produces, and distributes membership program information necessary to promote programs, in accordance with membership and marketing plans. Ensures marketing materials comply with BGCA branding guidelines and effectively tell the BGCCA mission and story. Organizes membership events at the Clubs and represents the BGCCA at community events to promote the Clubs. Develops and nurtures collaborative relationships with community organizations, schools, service groups and companies. Maintains working knowledge of other club departments and provides responsive service to requests from members, program members and community partners. Financial and Accounting Receipt money, make deposits, coordinate billing and automate drafts of membership dues. Manage financial assistance program with sensitivity and efficiency Develops, monitors and effectively forecasts membership budget to meet fiscal objectives. Manages and controls assigned budgets to meet membership income goals. Data and Reporting Compiles membership statistics and membership reports. Executes the annual NYOI survey and other member satisfaction surveys as needed. Maintain accurate and neat files for membership records, registrations, personnel and general files. Administers the club's membership database and software. Serves as a primary point of contact for technical support. Responsible for facilitating training as needed for member service representatives and program directors. Fundraising Actively participates in and supports the goals of the Annual Campaign through building relationships, engaging volunteers, and carrying out other assigned fundraising duties. General Duties Participates in staff meetings and related meetings. May provide administrative support to the Chief Operations Officer. Accept additional assignments as deemed appropriate, within the scope of the job description. Update job knowledge by participating in educational opportunities; and reading professional publications. Monitors and assists in the maintenance of a clean and sanitary membership service environment and meets all state and local licensing requirements. Work environment: The position operates in a youth development setting. The role routinely uses standard office equipment such as computers and phones. When in the club, the environment can be high- energy with moderate noise levels. Travel required: Local travel between club locations and to community events/meetings. Must have reliable transportation. Requirements: CREDENTIALS, SKILLS/KNOWLEDGE REQUIRED: Education and Experience: Associate Degree or applicable experience; Bachelors degree preferred Proven experience in membership management, customer service, or community engagement Demonstrated supervisory/leadership experience Experience working with youth-based organizations preferred Required Certifications: CPR, AED and First Aid certified (training provided) Valid driver's license with an insurable driving record Must complete required training within 90 days of employment Required Skills/Abilities: Strong leadership skills with demonstrated ability to manage, motivate, and develop a team Excellent verbal and written communication skills Excellent interpersonal and customer service skills to build relationships with diverse stakeholders Excellent organizational skills with the ability to manage multiple priorities simultaneously Strong analytical and problem-solving skills Proficient with Google platform and ability to learn membership database systems Understanding of basic accounting concepts including cash reconciliation Ability to process and respond appropriately to emergency situations Ability to relate effectively to diverse groups from all backgrounds and segments Must pass a comprehensive background check, including fingerprinting, child abuse clearance, and sex offender registry check, as required by BGCCA/NYSED/OCFS regulations. Physical Requirements: This job may require extended periods of standing, walking, and engaging in physical activities with children. The ability to lift up to 25 pounds may also be necessary.
