Job DescriptionOperations manager managing day-to-day activities, analyzing statistical reports, and liaising with other team members in the organization, including interacting with managers of different areas of the organization, presenting findings to stakeholders, and provide training and supervising new employees and tracking and measuring staff performance. Other duties and responsibilities include:Responsibilities Recruit, select, train, assign, schedule, coach, counsel and discipline employees Communicate job expectations; planning, monitoring, appraising and reviewing job contributions Plan and review compensation actions; enforcing policies and procedures Contribute operations information and recommendations to strategic plans and reviews; prepare and complete action plans; implement production, productivity, quality and customer-service standards; resolve problems; complete audits; identify trends Forecast requirements; prepare an annual budget; schedule expenditures; analyze variances; initiating corrective actions Develop operations systems by determining product handling and storage requirements; develop, implement, enforce and evaluate policies and procedures; develop processes for receiving product, inventory management and shipping Analyze process workflow, employee and space requirements; implement changes Maintain safe and healthy work environment by establishing, following and enforcing standards and procedures; complying with legal regulations Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations Accomplish operations and organization mission by completing related results as needed Meet or exceed operations labor budget expectations Manage staff levels, wages, hours, and performance Responsible for all department supervisor and leads, with review/approval responsibility for all operations employees Run a safe, injury/accident free workplace Manage relationships with key operational departments Review and approve all operational invoices and ensure they are submitted for payment Communicate customer issues with operations team and devise ways of improving the customer experience, including resolving problems and complaints Work closely with Supply Chain leadership team to set and/or implement policies, procedures and systems and to follow through with implementation. Communicate all operating policies and/or issues at department meetings Work closely with the inventory coordinator and purchasing team to perform analysis of our inventory and ensure we are utilizing our inventory effectively, maintaining solid inventory data and reduce inventory on-hand. Demonstrates support for the mission, values and goals of the organization through behaviors that are consistent with CT Children's standards. Performs other related responsibilities as assigned SUPERVISORY RESPONSIBILITIESOversee all responsibilities for Logistics, Distributions, and Mail/Courier services. Participates in the selection, hiring and orientation process; partners with director in all phases of the performance management process (establishing performance standards, development, ongoing feedback/coaching, mentoring, check-ins, rewarding and appraisal) for assigned staff. Implement staffing plan, schedule staff and ensure appropriate staffing level to support provider presence. Tracks employee time on the timekeeping system (Kronos). Sets priorities for the team to ensure task completion; coordinates work activities with other leaders. Participates in a variety of administrative managerial activities such as the development, implementation, and enforcement of policies and procedures; and maintains appropriate department files (e.g. employee files, incident reports, etc.). Decisions are guided by policies, procedures and the organizational plan; receives guidance and oversight from director.QualificationsExperience Required: At least 3-5 years of position-related healthcare experience. Education Required: Bachelor's degree required.KNOWLEDGE OF:Excellent communication and leadership skills, able to clearly delineate information to staff and allocate proper labor resources to each assigned taskSKILLS:Technical aptitude to navigate and manage multiple information systems as well as Microsoft Officeapplications, particularly Excel, to identify cost reduction and process improvement opportunities.
