Summary and Purpose:The Network for Vocation in Undergraduate Education (NetVUE) is a program of the Council of Independent Colleges (CIC). NetVUE is a national association of over 300 colleges and universities (including Aquinas College) that seek to support their students as they explore and discern their many callings in life. The NetVUE office is located in Mother Victor Flannery Hall on the Aquinas College campus; NetVUE staff are Aquinas College employees and receive salary and benefits through the college (however, these costs are paid back to the college by CIC).This entry-level position will provide administrative support for the NetVUE program, and in particular provides support for the other three full-time employees on the NetVUE staff (the executive director, the director of operations, and the communications coordinator). The administrative assistant serves as the frontline representative in staffing the NetVUE office, fielding queries, and performing significant administrative functions. This position reports to the executive director of NetVUE.Responsibilities/Duties/Tasks/Essential Functions:
- Schedule appointments for the three NetVUE staff members housed in the office;
- Assist the NetVUE director of operations and the executive director of NetVUE in maintaining accurate information in the member database, corresponding with staff at NetVUE member institutions, and similar tasks as assigned;
- Prepare correspondence, including mail-merged documents, to be sent over the signature of the executive director of NetVUE;
- Maintain accurate, up-to-date accounts of the NetVUE-related activities of member campuses, as well as information on potential members;
- Assist the communications coordinator in developing and executing email marketing campaigns designed to inform member campuses about NetVUE programs and services;
- Provide administrative support, including scheduling meetings, initiating and preparing routine correspondence (email, incoming and outgoing mail, telephone messages);
- Attend to basic financial recordkeeping (primarily payment requests and credit card reconciliation, since the CIC office takes care of broader accounting issues);
- Manage supply inventory and order office supplies; carry out printing jobs at campus printers (located in other buildings); work with the Aquinas IT office to maintain office/computer equipment (printers, copiers, etc.), initiating tasks to resolve maintenance issues; and
- Perform other job duties as assigned.
Knowledge, Skills and Education Requirements
- Possess a bachelor's degree from an accredited college or university;
- Demonstrate knowledge in appropriately handling confidential, sensitive information, and exercise good judgment in handling complex, confidential matters;
- Possess a flexible, customer-service-oriented, problem-solving attitude and a willingness to work successfully in a team environment;
- Demonstrate excellent verbal and written communication skills;
- Have strong computer skills with thorough knowledge of Microsoft Office products and occasional Google applications;
- Have the ability to work effectively with diverse work styles and with individuals from diverse backgrounds;
- Be self-directed and have high attention to detail with superior organizational skills;
- Be able to perform the essential functions of the job, with reasonable accommodation if needed.
Work Environment & Physical Demands
- Must be able to function effectively in a busy environment with interruptions.
- Constant use of computer and telephone.
- Some occasional lifting (20-35 pounds)
