Austin Humane Society Events Manager Position
The Events Manager is responsible for the execution and coordination of all Austin Humane Society's (AHS) events, to include the annual Gala, Puppy Bowl, Kitten Shower, Car Raffle and any stewardship events throughout the year. The Events Manager reports directly to the Chief Development Officer and plays an integral role on the Development and Communications Team. This position works with a variety of individuals; donors, event guests, volunteers, staff and other constituents to ensure everyone who encounters AHS has an excellent experience.
Essential Functions:
Fundraising Events
· Own and coordinate all logistics of event planning; including working with vendors, managing the timeline, communications and marketing needs, budget, expenses, in-kind donations and post-event evaluations and follow-up.
Specifically:
-Research, design, plan, coordinate, and evaluate all AHS produced fundraising events & other events as needed
-Oversee event logistics including venue, layout/set up, food/beverage, audiovisual/lighting, volunteers, staff involvement, animals, set up, etc.
-Develop a timeline of activities and deadlines for each event
-Assure that event expenses are within budgetary guidelines. Submit PO's for event expenses and maintain records of all expenses.
-Work with the Volunteer Manager on volunteer participation for events
-Work with the Communications team on media promotion and advertising for events, website content, social media promotion, run-of-show, print materials and promotion for events
-Work with the Database Coordinator on donation processing, acknowledgements, and mailing lists
-Manage correspondence, including acknowledgement design & plan, reports, and general information
· Establish, update, and maintain accurate data records of all events, as well as, all related constituents and donations.
· Assist with the development of new ideas and strategies to increase growth with community partners, donors and volunteers in order to help foster AHS engagement, satisfaction, retention and revenue within our events.
· Lead and manage event committee volunteers in their various roles and tasks.
· Assist the Development team in monitoring, evaluating, stewarding and expanding our event donor base.
Other Responsibilities
· Respond to the event emails and calls within 48 hours.
· Attend off-hour events outside of usual work hours and on weekends if needed.
· Assist the Development Team as a whole with events as needed.
· Other duties as assigned.
Qualifications/Basic Job Requirements:
-Minimum three years of experience in nonprofit fundraising and event planning needed.
-Highly organized and able to execute in a timely manner and delegate when needed.
-An energetic self-starter with a glass-full attitude.
-Like to have fun and be a team player!
-Critical thinker who likes to come up with new ideas and try them.
-Calm, cool and collected under pressure.
-Ability to pivot as needed.
-Exceptional organizational and communication skills is a must.
-Attention to detail, including the ability to maintain accuracy of all details in a fast-paced setting.
-Ability to make telephone calls to donors, event guests, volunteers, etc.
-Ability to track and report activities and budget.
-Ability to work with fellow team members in a coordinated effort to accomplish goals with clear communication in a timely manner.
-Ability to handle complex and confidential information.
-Advanced computer skills with experience in Microsoft Office suite required. Raiser's Edge and/ or other event software experience preferred.
-Must possess a valid driver's license.
-Bachelor's degree preferred.
The Events Manager is a full-time, exempt position that reports to the Chief Development Officer and works closely with other members of Development and Communications Team.
