Job Description:Job Overview: Wayne's Pest Control is seeking a detail-oriented and organized individual to join our team as an Office Administrator. In this role, you will play a crucial part in the smooth operation of our pest control services by providing administrative support to the team. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to handle various tasks simultaneously. Benefits:

Responsibilities: 1. Customer Interaction:
  • Answering phone calls and responding to customer inquiries regarding pest control services.
  • Scheduling appointments for pest control treatments and inspections.
  • Providing information on services, pricing, and preparation guidelines to customers.
2. Data Management:
  • Maintaining accurate and up-to-date customer records in the company database.
  • Recording service requests, treatment details, and customer communication for future reference.
  • Generating and updating reports as required by management.
3. Dispatch and Coordination:
  • Coordinating with field technicians to ensure timely and efficient service delivery.
  • Dispatching technicians to customer locations based on scheduling and urgency.
  • Tracking technician schedules and updating customers on arrival times.
4. Billing and Invoicing:
  • Generating and processing invoices for completed pest control services.
  • Handling customer billing inquiries and ensuring timely payments.
  • Collaborating with the finance department to resolve any billing discrepancies.
5. Office Organization:
  • Maintaining a clean and organized office environment.
  • Managing office supplies and placing orders as needed.
  • Assisting in the development and implementation of office procedures.
6. Communication Liaison:
  • Serving as a liaison between customers, technicians, and management.
  • Communicating important information to technicians and customers as needed.
  • Addressing customer concerns or complaints in a professional and timely manner.
Qualifications:
  • High school diploma or equivalent; associate degree or relevant certification is a plus.
  • Proven experience in office administration or a similar role.
  • Proficient in using office software, including word processing and spreadsheet applications.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Knowledge of pest control terminology and processes is a plus.
Working Conditions: The Office Admin will primarily work in an office setting, with occasional interaction with field technicians.
