Office Administrator Hillel at Binghamton Role Overview Hillel at Binghamton needs a solutions-oriented, creative, highly organized professional with exceptional communications skills to serve as our next Office Administrator. The administrator will be responsible for the financial management and also supporting organizational operations. This is a 25-hour per week, hybrid position. Responsibilities: Operations
  • Oversee general office upkeep and inventory of supplies
  • Coordinate and communicate with vendors, including custodial and maintenance
  • Support the Campus Director to coordinate with Kosher Dining for weekly Shabbat meals, holiday meals, and event catering
  • Assist Campus Director in training and supervising student office assistants and interns.
  • Assist with campaign mailings and development reports
  • Prepare materials for Board meetings as requested by the CEO
Financial Management
  • Support the financial responsibilities of the organization, including receipt collection and entry, processing check requests and reimbursements, examining documentation, and other transaction management processes
  • Monitor cash flow and keep CEO informed
  • Support staff in developing budgets
  • Reconcile accounts and provide updated financial reports as needed
  • Prepare materials for tax filing, audits, and data-driven financial reporting, serving as primary point of contact with our CPAs, as necessary.
  • Record all income and expenses, process financial transactions
  • Record and maintain donor records, and produce donor reports, as needed.
  • Submit payables for approval
  • Onboard new employees in online payroll platform
  • Process payroll
  • Coordinates, requests, and distributes certificates of insurance and coverages as needed
Minimum Qualifications:
  • BA/BS degree or equivalent practical experience,
  • 2+ years of relevant experience in an administrative, operations, or office manager role.
  • Outstanding organizational skills; should enjoy developing systems, organizing documents, and implementing systematic workflows,
  • Exemplary time management skills, including the capacity to juggle competing priorities and deadlines, and to remain flexible within an ambiguous, fast-paced environment,
  • Excellent verbal and written communication skills,
  • Knowledge of essential computer software programs, including Quickbooks, Microsoft Word and Excel, and donor software (Little Green Light) and the agility and resourcefulness to learn new technologies.
  • Impeccable discretion and appreciation of confidentiality,
What You'll Receive This is a 25 hour/week and hybrid position and the salary for this role is $35,000.
