Overview: We are seeking an experienced Office Administrator to support the branch manager and sales associates while overseeing daily office operations. This role involves administrative management, staff recruitment and training, and customer service to ensure the efficient functioning of the office. Key Responsibilities:
- Office Management:
- Oversee day-to-day office operations, including record-keeping, invoicing, answering phones, tracking expenses, and greeting clients.
- Process, verify, and enter transactions into the system.
- Distribute tasks to office staff and ensure smooth workflow.
- Administrative Support:
- Provide assistance to the branch manager and sales associates.
- Handle correspondence, mail, appointment setting, and other administrative duties.
- Coordinate special events and prepare collateral materials, flyers, and brochures.
- Sales Associate Support:
- Process license applications for new and renewing sales associates.
- Conduct orientations and assist with billing, paperwork, and training.
- Act as the first point of contact and liaison between staff, management, and sales associates.
- General Duties:
- Maintain compliance with company policies and confidentiality standards.
- Perform basic bookkeeping and telecommunications support.
- Address any additional office-related responsibilities as needed.
Qualifications:
- Education:
- Bachelor's degree in Business Administration or equivalent work experience.
- Experience:
- 3-5 years of relevant experience; leadership or supervisory skills are a plus.
- Skills:
- Knowledge of the real estate business (preferred).
- Strong proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent communication, organizational, and customer service skills.
- Ability to handle multiple tasks and meet deadlines under pressure.
- Additional:
- Real estate license is preferred but not required.
