Assured Information Security (AIS) is looking for an Office Administrator to provide administrative and clerical support for efficient office operations. In this role, you'll serve as the first point of contact at the front desk by managing building access, screening incoming calls and coordinating visitor activities with corporate sponsors and the Security Department.

How You'll Succeed

You'll provide administrative support to the C-Suite and Senior Leadership by organizing appointments and meetings, maintaining contact lists and the organizational chart, producing and distributing correspondence (memos, letters, faxes and forms), assisting with mailings, preparing regular reports, managing office supply inventory and ordering supplies as needed. You'll serve as a requisitioner for the Deltek/Costpoint system to facilitate the AIS procurement process. In addition, you'll:

* Create and maintain a Received Official Mail/Packages Control Log. Execute AIS mail process to include logging and date stamping mail from state and federal agencies and ensure it's forwarded to the appropriate staff member.

* Greet visitors and employees (HQ access control).

* Verify U.S. citizenship of visitors, issue appropriate badges and maintain visitor log.

* Receive and transfer all incoming telephone calls to appropriate personnel.

* Receive classified packages and ensure proper safeguarding.

* Process all incoming/outgoing collateral and SCI visit requests for employees and subcontractors.

* Monitor closed-circuit security/alarm systems.

* Under direction of the Facilities Manager, manage and maintain the building maintenance log. Field and address facility tickets (coordinate with management & vendors where applicable).

* Serve as alternate coordinating point of contact for building maintenance services.

* Additional duties as assigned.

Your Expertise

* You have a high school diploma and 3 years' experience in an administrative support role OR an equivalent combination of education and experience. An associate degree in business administration or related field is preferred.

* You have 3 years' experience utilizing strong verbal and written communication skills.

* You have 3 years' experience in customer service.

* You have strong interpersonal skills.

* You have proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).

* You have scheduling and organizational skills.

* You have the ability to multi-task.

* You have the ability to obtain and maintain a Secret DoD security clearance.

US Hourly Range: $20.87 - $24.50

The salary offered to a selected candidate will be based on several factors including location, skills, and experience. In addition to a comprehensive benefits package which includes employer paid health insurance and a 7% contribution to your 401k, candidates may be eligible for other forms of compensation.
