Cuningham seeks an Office Administrator to share in our vision to dream big, be daring, and create change. The Office Administrator will dedicate 50% of their time to general office support and 50% to supporting Design Technology teams and coordinating meetings, events, and operational activities. This position requires a high level of organization, communication, and problem-solving skills to ensure the seamless execution of daily responsibilities. We are looking for an energetic, self-motivated, and creative problem-solver to provide essential support for office administration efforts and procurement activities. This position requires a proactive individual who can balance administrative duties and responsibilities. In this role, you will work with the Administration and Design Technology teams and studio leaders to ensure seamless operations, efficiently managing project workflows and administrative responsibilities. Some responsibilities will require in-office presence; candidates must be available to work on-site at least three days per week. This position also offers professional development opportunities and the chance to develop new processes and efficiencies. What you will do
- Meeting and Event Coordination: Plan and coordinate internal and external meetings, education sessions (Minneapolis office), appointments, and events. Responsibilities include scheduling conference rooms or off-site locations, ordering food and beverages, and managing event logistics such as catering, venue booking, and follow-up communications.
- Meeting Documentation: Attend meetings and prepare detailed notes or minutes to ensure accurate documentation and follow-up.
- Budget and Expense Management: Track and manage budgets, receipts, and expense reports. Ensure timely processing and maintainaccurate financial records.
- Oversee library materials by ensuring project teams properly return samples and binders, updating materials and binders as needed with input from Interiors and/or architectural staff.
- Maintain a high level of professionalism and exceptional customer service in all interactions.
- Manage project data and contact/client/vendor information in databases such as Deltek Vantagepoint.
- Office Facilities Support: Provide general office support, including maintaining office supplies, coordinating facility needs, and ensuring a well-functioning workspace.
- Along with other firm administrative team members, answer and direct main reception line calls to the appropriate staff.
- Administrative Team Support: Provide cross-functional support to other administrative team members, ensuring a collaborative and efficient office environment.
- Assist with special projects, tasks, and assignments as needed to support business objectives.
- Design Technology Support: Assist the Design Technology Department by tracking and managing budgets, renewals, and related tasks in coordination with the Director.
- Learning Management System (LMS) Administration: Oversee the LMS, including managing course content, user access, and troubleshooting account issues. Track learner progress, update materials with subject matter experts, handle feedback, and ensure a seamless learning experience.
What we look for
- Bachelor's degree or equivalent experience in business administration, project management or related field.
- Minimum 4 years' administrative support experience, preferably in architecture, design or construction industries.
- Experience with project coordination and operational support, including budgeting and inventory management.
- Previous experience supporting management and large teams.
- Excellent written and verbal communication skills, with attention to detail.
- Ability to work collaboratively with diverse teams and independently when needed.
- Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, as well as Adobe Acrobat and/or Bluebeam, and other database and scheduling software.
$28 - $38 an hour Compensation provided is based on our national range which varies by work location and may also depend on accreditation, experience and responsibilities.
