Essential Duties and Responsibilities
- Enter invoices into the accounting system.
- Organize and schedule meetings and appointments for managers.
- Answer and direct multi-line phone calls.
- Receive, sort, and distribute the mail, including preparing letters and packages for pickup or delivery.
- Perform post office runs and trips to the PO Box and mailbox as needed.
- Assist in the preparation of regularly scheduled reports.
- Produce and distribute correspondence memos, letters, faxes, and forms.
- Ensure equipment operation by completing preventive maintenance requirements, calling for repairs, maintaining inventories, and evaluating new equipment and techniques.
- Manage everyday business records and projects efficiently and promptly.
- Originate and update meeting minutes, memos, and letters for managers.
- Develop and maintain computer and manual filing systems.
- Order office supplies and research new deals and suppliers.
- Maintain contact list.
- Confidentially manage sensitive information.
- Greeting and assisting visitors to the office.
- Perform administrative duties such as filing, typing, copying, binding, scanning, etc.
- Coordinate office functions as requested.
- Provide general support to visitors.
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders, and verifying supplies' receipts.
- Assist the accounting department as needed.
- Perform general scanning and data entry.
- Serve as backup for other administrative staff members.
- Other duties, as assigned.
- Employees may be required to work extended hours (more than 8 hours per day), weekends, and holidays. Employees will be compensated based on guidelines in the Fair Labor Standards Act.
Qualifications and Requirements
- High school diploma or GED
- General math skills.
- Proficient in MS Office.
- A high degree of accuracy and attention to detail.
- Excellent data entry skills.
- Excellent verbal, listening, and written communication skills.
- Excellent time management skills and ability to multi-task and prioritize work.
- Strong organizational and planning skills.
- Demonstrates a sense of urgency and ability to meet deadlines.
- Ability to work independently or as a team member.
- Demonstrate ability to use office equipment, including but not limited to photocopiers, fax machines, and personal computers.
