Position: Office Administrator (Residential)
Job Summary: The Office Administrator is responsible for managing and coordinating various administrative tasks and functions within the office. They ensure the office runs efficiently by providing support to employees, managing office supplies, handling communication, and overseeing general office operations. The Office Administrator will be responsible for answering phone calls throughout the day, answering all questions, and transferring when necessary. This position reports to the Clinical Site Director.
Duties and Responsibilities:
Duties include, but are not limited to:
* Provides a warm greeting and any needed assistance to all incoming calls.
* Ensures that office activities comply with LBHS policies and procedure.
* Checks clients into appointments in Carelogic and alerts appropriate personnel of incoming guests and clients.
* Ensures the safety of the building by being aware of those entering and leaving, directing clients and guests to appropriate areas, and alarming management of any security threats.
* Responsible for providing building safety training to all new office staff and maintaining safety signage throughout the building, following proper procedures in unlocking restricted areas.
* Manages communication by checking voicemail at least twice a day, returning calls and/or transferring calls to the appropriate party.
* Maintains a clean and welcoming environment by ensuring cleanliness of front entryway, waiting area, reception area, workspace behind the reception desk, and any floors and walls in view from the area.
* Manages delivery of mail and/or packages to appropriate parties, making sure outgoing mail has appropriate postage, and ensures the reception area is clear of deliveries.
* Knowledgeable of office equipment functions including but not limited to the copy machine and Assists others with the function of the equipment when needed.
* Manage the scanning of requisition forms after lab drops have been processed.
* Proactively seeks out additional work once daily duties have been completed.
* Assists other departments as needed or requested by management.
* Completes required training in a timely manner
Requirements:
* High School Degree or Equivalent
* Must pass BCI check, all Corporate Compliance checks, and employment drug screen
* Previous customer service or office associate experience
* Valid Ohio Driver's License and car insurance
Desired Experience:
* 2 years relevant work experience
* Excellent organizational and time management skills.
* Strong communication and interpersonal abilities.
* Attention to detail and problem-solving skills.
* Ability to multitask and prioritize tasks effectively.
* Knowledge of basic accounting principles is a plus.
Schedule
Monday - Friday 8:30am - 5pm
