Job Description :

Our client, a Princeton University Department, is in need of a full time Office and Events Assistant. This is a great “foot in the door” opportunity. The day to day responsibilities will be primarily office assistant/administrative work, and there will be additional event support duties as needed. This is a fully on site, in person position in Princeton, NJ. This position offers a pay range of $22-$25/hr.

Responsibilities

  • Oversee the NES department main office, answering phone calls and support department manager and all faculty.
  • Assist students and visitors with any questions or directions.
  • Event coordinating including communicating with speakers, creating, and/or distributing flyers, advertising, tracking RSVPs, online registrations, travel arrangements and placing catering orders.
  • Willingness to work evenings and/or weekend events when needed during the academic year.
  • Support the NES events team as needed.
  • Assist with email marketing, website updating, and other advertising.
  • Distribute mail to faculty, staff and grad students.
  • Send mail out via interoffice mail, UPS or Fed Ex.
  • Oversee the student lounge ensuring tidiness and supplies are stocked.
  • Keep all supplies stocked, (coffee, office supplies, etc.)
  • Photocopy or scan documents/books as needed.
  • Schedule meetings and set up zoom meetings as needed.

Qualifications

  • Associates degree or equivalent, plus 2 to 3 years minimum related experience.
  • Position requires excellent organizational, communication and interpersonal skills.
  • Proactive, with the ability to plan and execute projects with tact and appropriate independent judgment.
  • Demonstrate the highest level of professionalism in welcoming and assisting all constituents
  • Work effectively across units to assure a standard of excellence in all conferences and events.
  • Must be able to adapt and capable of working independently as well as within a team.
  • Must be dependable and reliable, able to adhere to university policy, exercise good judgment and discretion in the handling of confidential information.
  • Strong written and oral communication skills.
  • Three or more years of work experience relevant to the job responsibilities.
  • Intermediate level proficiency with Microsoft Office Suite including Word, Excel, Outlook, and
  • PowerPoint. Working knowledge of Google Docs, Gmail, and other Google products is a plus.

Preferred

Experienced with university systems such as Prime, Information Warehouse, EMS, Drupal, Concur, Canvas, EMS, among others.
