NY HELPSThis title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.NON-COMPETITIVE MINIMUM QUALIFICATIONS:One year of experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.COMPETITIVE MINIMUM QUALIFICATIONS:Permanent service in this title or one year of permanent competitive or 55-b/c service in a title SG-7 or higher and otherwise eligible for transfer under Civil Service Law.A list of titles approved for transfer is available through Civil Service GOT-IT at PROVISIONAL QUALIFICATIONS: Based on the results of the canvass of the current eligible list for the Office Assistant 2 (Calculations) the Department may elect to make a provisional appointment to this position rather than a permanent appointment. If a provisional appointment is made, the appointed candidate will be required to compete in the next holding of the Office Assistant 2 (Calculations) exam and be reachable for appointment from the newly established eligible list. The minimum qualifications for Provisional appointment are:One year of permanent, contingent permanent, or 55 B/C service as an office assistant, clerical, or keyboarding title allocated to a Grade 6 or higher. PREFERRED QUALIFICATIONS: •Proficient in Excel - experience with entry navigation, formulas, and some creation of spreadsheets.•Communication skills - email, in person, phone experience, working with others for specific needs.Duties Description The Office Assistant 2 (Calculations) duties in Bureau of Fiscal Management will include but are not limited to the following: •Gather, compile and record refund data received from Corporations indefinitely due to system deficiency.•Balance and submit spreadsheet to the BSC (Business Services Center) for payment. •Review SFS (Statewide Financial System) for payment dates. Enter on spreadsheet and share with program.•Receive checks and revenue and deposit documentation collected from various DOS (Department of State) program staff daily.•Review documentation and verify checks and that amounts are correct.•Log checks received for DOS Fiscal receiving records and perform various reconciliation/recording steps to prepare for deposits.•Enter revenue and deposit data received from program areas daily into the Fiscal Revenue System database.•Review and prepare Petty Cash check request documentation. Prepare Petty Cash checks as needed, obtain signature, and retain copies and documentation with proper ledger entry.•Assist revenue supervisors with various steps in bank account reconciliations via online and spreadsheet activities as needed.•Sort and distribute Administrative Finance mail accurately and timely as needed.•Assist Accounts Payable, Purchasing, Travel staff as needed and as work loads require with clerical support tasks such as entry, recording, reviews, and program communication.Additional Comments The Department of State is proud to be an equal opportunity employer.
