Summary

Under general supervision, is responsible for general to complex clerical, reception, and office support duties; prepares complex reports; maintains computerized files; performs other related duties as required.

Duties and Responsibilities

* Establishes and maintains complex reports and filing systems utilizing Microsoft Word and Microsoft Excel

* Maintains departmental calendars through Microsoft Outlook

* Receives, sends, and distributes faxes and office correspondence electronically

* Processes deposit forms, requisitions, and/or distribution logs

* Prints, sorts, and issues a variety of checks, to include payroll distribution for the County

* Collects, receipts, and processes payments in form of cash or check using a computer cashiering system

* Enters, scans, files, and/or updates data utilizing spreadsheet and database applications

* Acts as office receptionist greeting and directing the general public and county staff

* Answers and routes telephone calls utilizing discretion and tact

* Responds to general and complex questions and office complaints

* Assists in maintaining supplies by checking stock to determine inventory, verifying receipt, and stocking items received

* Receive, sort and distribute mail

* Monitors office equipment operation, troubleshooting failures and calling for repairs

* May supervise, lead or train administrative or clerical support personnel

* Performs related duties as required

Minimum Qualifications

* Graduation from High School or a General Education Development (GED) certificate, and three (3) years administrative experience in an office environment; or equivalent combination of education and experience

* Good knowledge of English spelling, grammar and punctuation; good knowledge of office procedures

* Skill in operating a personal computer, scanner, and other office equipment

* Ability to accurately enter data and file information; ability to work independently and meet deadlines; ability to organize, compile, and record information accurately

* Ability to multitask and handle heavy traffic at the reception desk along with a heavy volume of phone calls at times

* Ability to establish and maintain professional working relationships with co-workers, County employees and the general public

* Must secure and maintain a favorable background investigation and clearance

* Must clear a pre-employment physical and a pre-employment drug screen test

* May occasionally be required to work more than 40 hours during the workweek

Working Conditions and Physical Demands:

* Constantly working in indoor conditions

* Occasionally moves items weighing up to 10-15 pounds

* Occasionally moves about the office

* Frequently communicates with others

* Must be able to exchange accurate information

* Have a positive and poised demeanor

* Constantly operates a computer and other office productivity machinery

* Positions self to perform essential functions

* Must be able to remain in a sedentary position for long time periods
