Office Administration Assistant [Intern]We are looking for an Office Administration Assistant to join our team. The Office Administration Assistant will serve as a trusted administrative support including managing meeting schedules, managing the office & inventory, and support with some HR administrative activities as needed.Responsibilities
- Greet and screen callers and visitors and direct them to the appropriate person or area
- Answer & manage generalincoming calls to the firm on company phonelines -listening to voicemails and follow up as needed
- Managing company online faxing
- Handleadmin & program-related mailings
- Notify Office Administrator about office purchases to be made
- Work with Office Administratoras needed on assigned tasks
- Organize, reserve, and oversee conference room assignments
- Handle supplies and the delivery of the company equipment
- Create, read, analyze, file, retrieve and organize organizational documents, invoices, and orders
- Facilitate Employee Email, Laptop, and Access
- May also handle the administrative functions of the human resources department, and support as back up for some key HR activities - including employee onboarding and offboarding
- Support with social media platforms monitoring - as needed
- Serve as key project support for small sized projects (particularly internal project or events)
Requirements
- Bachelor's degree in a relevant field; preferably healthcare
- Proven work experience as an Office Assistant or Administrator
- Knowledge & Proficiency in Microsoft Office Suite
- Excellent verbal and written communication skills; must be a people person
- Very responsive & good problem-solving abilities
- Knowledge of basic office equipment such as copiers, fax machines, and printers
- Organizational skills and the ability to multitask are essential, as are self-motivation, critical thinking skills, and decision-making skills
- Reliable transportation needed; 5 days a week in-person at our Baltimore, MD office
