You will perform clerical and administrative functions to drive company success.Office Assistant Task/ Responsibilities
- Answer incoming calls, direct inquiries, and greet clients and visitors in a professional and welcoming manner.
- Oversee and maintain inventory levels for office supplies and cleaning materials. Initiate procurement and distribute office supplies.
- Ensure the cleanliness, organization, and functionality of office common areas.
- Receive Incoming Packages/ Store and distribute to staff
- Open/ Route incoming mail and distribute correspondence and other material to staff
- Make Copies and/or duplicates as requested
- Create, manage, and distribute Zoom or other virtual meeting links. Provide technical support for virtual meetings
- Generate Purchase Orders for submission via Spendwise
- Format, update, and maintain donor lists and databases, ensuring accuracy, confidentiality, and compliance with data protection regulations.
- Record and document in-kind donations accurately, maintaining detailed records for reporting and acknowledgment purposes.
- Assist in arranging company travel, including booking flights, accommodations, transportation, and creating itineraries in line with company policies
- Schedule or assist in scheduling appointments, meetings, and/or conferences, as appropriate to the position.
- Assist management in various administrative tasks such as follow-ups, scheduling, correspondence, and handling inquiries
- Run various routine errands, as required, for the organization
- Performs miscellaneous job-related duties as assigned by supervisor
EDUCATION: Must have a high school diplomaAssociates or Bachelors degree (preferred)SKILLS AND KNOWLEDGE REQUIRED
- Excellent interpersonal skills; computer proficiency; excellent writing and verbal skills
- Demonstrate ability to interact with different races, ethnicities, ages, and sexual orientations in a multicultural environment, as well as ability to multi-task and work under pressure.
- Physical demands are minimal for this position and include sitting, standing, walking reaching, light-lifting (less than 25 lbs.), and any other office situation.
HOURS:
- Monday through Friday, 40 hours per week
- 10% Travel Required
