There is currently one vacancy in the Motor Vehicle department. About the Job Perform receptionist and responsible clerical and office support work requiring a basic knowledge of and experience with office operations, procedures, practices, systems and equipment. The work involves clerical and office support work of a regular and recurring nature following specific and well established policies, procedures and standards. Duties may vary in nature according to different work environments. Individuals in this class carry out routine assignments independently once procedures and policies are learned, and are responsible for their own work product and maintaining high quality standards. Emphasis is on applying a basic understanding of general office operations and procedures and significant deviations are referred to a supervisor or employee of a higher classification who is normally available to advise or assist as necessary. Employees must have the ability to use good judgment and are responsible for determining the correct way to handle a variety of different situations. Responsibility is mainly for own assigned work load, but may also be assigned to assist new or temporary employees. The work is reviewed in progress and upon completion for thoroughness, accuracy, timeliness and compliance with regulations, policies and procedures. ILLUSTRATIVE EXAMPLES OF WORK Process materials such as forms, applications, records, or documents where specific procedural requirements must be met and a good understanding of applicable guidelines is necessary. Type correspondence, memoranda, reports, requisitions, forms and other documents; compose letters independently or from instructions requesting or providing information; proofread and edit written materials as required; enter data and generate letters, records and reports. Provide information and services to other departments and personnel, various outside agencies or organizations and the general public. Explain programs, activities, policies and procedures within scope of authority; provide information of a general or limited technical nature. Schedule facilities, events and staff utilizing appropriate methods according to different work environments or specialty areas. Perform receptionist duties such as receive calls, greet visitors and provide information and assistance by routing calls to appropriate individuals or departments, taking messages and responding to routine inquiries. Develop, maintain and update accurate manual or computerized recordkeeping systems. File, maintain and search a variety of records and documents. Provide documents and records and information according to well-defined procedures. Prepare records and documents for filing, archiving and/or microfilming. Operate computers and standard office equipment such as typewriters, calculators, fax machines, copiers, Dictaphones, telephones, multi-line phone systems and copiers. Operate numerous software programs with proficiency, including word processing, data management and spreadsheet applications. Maintain simple bookkeeping, financial and statistical records where no technical accounting knowledge is needed and following well established procedures. Initiate completion of regularly recurring reports and standard form letters. Maintain accumulative records, making periodic audits as necessary. Receive and receipt various payments, fees, fines and codes for automated data entry or further clerical processing. Process and distribute incoming and outgoing mail according to established procedures. MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS Successful completion of course work or training in modern office principles and practices which include formal computer training, AND At least one year general office support experience which included public contact and required utilization of computers; OR Any equivalent combination which provides the required knowledge, skills and abilities. Answers must be detailed and will be blind rated. Responses to the supplemental questionnaire will be individually reviewed and evaluated (weighted 30%). Top-scoring applicants will be called to an oral panel interview (weighted 70%), tentatively scheduled for June 22, 2023. All vacancies in this job class will be filled from the ranked Civil Service register established from the examination process for 12 months. IMPORTANT NOTES A passing grade of 70.00 or higher is required on all parts of the screening process for placement on the ranked Civil Service eligible register. The examination process is designed to sample and measure the requisite knowledge, skills, and abilities.
