Job Summary:

The Office Assistant's responsibility will include, but not be limited to carrying out general administrative duties and supporting the business to grow and exceed its customers' expectations. The duties cover a broad spectrum of responsibilities from basic account control, general office administration, and stock management.

Reporting to the Operations Director, you will be responsible for your assigned duties and responsibilities.

Job Responsibilities (and not limited to):

  • Send invoices to customers
  • Send statements to customers
  • Chase up outstanding invoice payments
  • Deal with customer order and invoice queries
  • Payments, checks, and remittances
  • Open and manage incoming mail
  • Answer the office telephone and direct calls accordingly
  • Assist with onboarding new staff, paperwork, and documentation, such as emails, laptops, business cards, etc.
  • Manage office supplies and equipment, stationery, and other office supplies
  • Assist with Fleet car management, organize inspections, and property tax documents
  • Inventory control and assist with order processing
  • Prepare a list of orders processed weekly
  • Stock replenishment
  • Company administration support: State documents and renewals, account information required, health care onboarding, waste management, energy providers, IT suppliers and support.

Education and Experience Requirements:

  • Must have a minimum Associate degree with a preference for some experience and/or education in sales and business
  • At least 2 years of experience in an Office Assistant position

Required Skills and Abilities:

  • Strong customer orientation and a passion for customer satisfaction
  • Ability to multitask
  • High level of organization
  • Shipping and delivery experience
  • Able to work with others in a team environment
  • Good interpersonal and communication skills, open-minded, and cooperative spirit
  • Experience with CRMs and Microsoft Office
  • Accounts experience
  • ERP experience

Nice-to-have Skills and Abilities (needed for higher end of pay range):

  • Business-to-business experience
  • Experience managing an office
  • User-level knowledge of Salesforce
  • User-level knowledge of Microsoft Dynamics NAV (Navision)
  • Fluency in Spanish

Working Conditions and Physical Demands:

  • This is an office-based environment
  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily
  • The requirements listed above are representative of the knowledge, skill, and/or ability required

Travel Required:

  • Occasional travel may be required
  • Must have a passport to be able to travel to the headquarters in Spain if and when required

Package offered:

  • $40,000 - $50,000 annual gross salary, depending on skills and experience
  • 401k non-contributory at this stage.
  • Health care provided with deductible and co-pay.
  • Bi-weekly salary.
