OFFICE ASSISTANT Job DescriptionThe Office Assistant will be working under the direction of the Human Resource Department. This position assists with the duties and responsibilities in the following functional areas: employment practices, onboarding, scanning/filing, policy & procedures implementation, recruitment, retention, job fairs and training. Responsibilities are performed under the supervision of the Human Resource Officer.RESPONSIBILITIES AND DUTIES:
  • Provide operational support on issues such as talent and performance management and employee law.
  • Always maintain strict confidentiality and discretion.
  • Make sure all personnel related information or documents are locked in a secure drawer or location that is not accessed by unauthorized individual(s).
  • Adhere to Gibson's policies and procedures and code of ethics.
  • Provide operational support on issues such as talent and performance management and employee law.
  • Assist with scanning/filing and with the new employees onboarding process.
  • Assist with new employee orientation and other training.
  • Ensure compliance with USCIS form I-9 Employment Eligibility Verification: periodically audit I-9 forms for completion.
  • Provide effective communication and correspondence to employees, applicants, and other professionals in a pleasant demeanor in person and over the phone.
  • Answer phones.
  • Assist with the preparation for scheduled interviews and conducting interviews which may include pre-screening interviews, when needed.
  • Maintain Human Resources Information System records and compiles reports from database.
  • Maintain compliance with federal, state, and local regulations regarding employer/employee related matters.
  • Serve on various committees as assigned by Gibson's leadership and attend meetings, training, community events and job fairs.
  • Assist with researching and developing human resources policies & procedures, memos, and job descriptions.
  • Performs other related duties as required and assigned.
  • SUPERVISED BY:Human Resource Officer and/or Chief Executive OfficerPOSITIONS SUPERVISED:NoneQUALIFICATIONS:Associate degree in business, human resources, or equivalent combination of education and experience preferred. Minimum of two years' experience. Must have computer skills, strong analytical and problem-solving skills. Must possess good verbal/written communications and presentation skills. Good grammar, spelling, punctuation, with an attention to detail are essential. A working knowledge of COBRA, FMLA, Workers' Compensation and other related state and federal personnel regulations required.
