The Office of Student Transportation Services (STS) provides safe, timely, and cost-effective transportation for all eligible students in accordance with federal, state, and local laws, as well as city ordinances and Chicago Board of Education policies and procedures. Job Summary: Reporting to the Executive Director, the Office Assistant will support STS with administrative duties. This is a part-time/temporary position with an expected schedule of 30-40 hrs/week from early June 2022 to June 2023. The will be held accountable for the following responsibilities:
- Greet callers (including families, school-based staff and others), handle their inquiries, and direct them to the appropriate persons according to their needs in a responsive, respective, and timely manner (i.e. within 24 hours)
- Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters
- Prepares correspondence, and other materials by transcribing, formatting, inputting, editing, copying
- Set up and maintain paper and electronic filing systems for records, correspondence, and other material
- Handles non-routine information and explains policies when necessary.
- Plans and schedules meetings, conferences, and teleconferences.
- Prepares reports by collecting and analyzing information.
- Other duties as assigned.
In order to be successful and achieve the above responsibilities, the Office Assistant must possess the following qualifications: Education Required: - High school diploma or GED equivalent
Experience Required: - Minimum one (1) year of professional experience in an administrative role
Knowledge, Skills, and Abilities: - Knowledge of administrative and clerical procedures and systems such as word processing, managing
- Ability to work well in fast-paced professional environment and operates with a sense of urgency in accomplishing goals and objectives while maintaining a customer focus
- Experience managing multiple projects and simultaneous deadlines
- Experience with quickly prioritizing tasks and responsibilities to support needs of the department
- Strong attention to details and highly organized
- Excellent judgment and professionalism
- Proficient with MS Office Suite, Excel, PowerPoint, Oracle, and Kronos
Conditions of Employment As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
- Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions.
- Be Fully Vaccinated or Submit to Weekly COVID-19 Testing - Employees are required to be fully vaccinated within 30 days of their hire date. Full vaccination is defined as at least two weeks after your second shot of a two-shot vaccination course, or at least two weeks after a one-shot vaccination course. Unvaccinated staff must submit to weekly testing.
CPS Non-Union Job Grade: Part-time/Temporary Estimated Annual Salary Range: Up to $20/hr Final salary offers are dependent upon candidate qualifications.
