DIOCESE OF ST. AUGUSTINE Position: Office Assistant (Part-Time) FLSA: Non-Exempt Reports to: Principal Status: Part-time - August through the 1st week of June, Temporary with possibility of regularization Location: St. Michael's Academy, Fernandina Beach General Summary: This position will provide administrative support to ensure the efficient operation of the school. Supports managers and employees through a variety of tasks related to organization and communication. Essential Duties and Responsibilities:
  • Organizes files, both paper and electronic, and scans/enters data to assist in the diocesan-wide project to digitize files
  • Assists in processing bills - coding, making copies, and filing
  • Creates neat and professional correspondence, reports, emails, free from error with good grammar and proper English; proofreads and edits materials; duplicates and distributes materials as necessary
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions
  • Contributes to team effort by accomplishing related results as needed
  • Other duties, as assigned
Knowledge, Skills, and Abilities Required
  • High school degree required or general education degree (GED) and a minimum of one year of related experience
  • Must consistently demonstrate patience, tact, and a positive, friendly, caring attitude with colleagues and visitors. Professional attitude and appearance is a must.
  • Ability to respect, promote, accommodate, and not be in conflict with the mission, moral, and social teachings, doctrines, and laws of the Roman Catholic faith
  • Knowledge of religious/ecclesial terminology and protocol is strongly preferred
  • Must have the ability to work independently and exercise a high degree of confidentiality
  • Strong knowledge and proficiency with all Microsoft Office software
  • Advanced organizational skills and problem solving
  • Honors, respects, and cares for all people; displays cultural diversity awareness and sensitivity
  • Must successfully pass the required criminal background check prior to employment and every five years
LANGUAGE SKILLS Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the general public. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
