Salary: $25.18 - $30.60 Hourly Location : Santa Clarita, CA Job Type: Regular Full-time Job Number: 2024-11 Department: Recreation and Community Services Division: Recreation and Community Services Opening Date: 11/19/2024 Closing Date: 11/26/2024 12:00 PM Pacific Description/Duties & Responsibilities Under the direction of the Recreation and Community Services Administrator, the Office Assistant is responsible for providing a wide range of clerical support and customer service for the Primetime Preschool, Camp Clarita, Registration, Contract Classes, Valencia Community Center, and Crossing Guard program areas of the Recreation and Community Services division. This position may be required to work varying hours, including nights, weekends, and holidays as needed. Duties and Responsibilities: •Provides clerical support and customer service to staff and the public by phone, in-person, and through e-mail communications •Types, proofreads, and edits a variety of documents, reports, and general correspondence; maintains and updates program webpages •Processes purchase orders, requisitions, invoices, and payments •Assists with facility reservations and service requests •Tracks, inventories, orders, and organizes supplies •Registers patrons and processes payments, refunds, and transfers for programs and classes using recreation software program; tracks payment plans and waitlists •Inputs program registration information into CivicRec software program •Administers the live scan fingerprinting process for contract instructors •Provides records management functions for program areas, including tracking records and preparing files for annual destruction •Attends meetings with each program area •Tracks part-time staff hours and certifications •Provides back-up front counter and phone coverage •Provides backup clerical support to the division Administrative Assistant as needed •Assists with special projects Education and Experience •High School Diploma or a GED equivalent •One year of clerical support experience preferably in a large organization supporting a division and/or multiple employees •Possession of, or ability to obtain, a valid Class C California driver license •Experience in recreation programming is highly desirable Knowledge and Abilities •Excellent communication skills; knowledge of basic math, business English, and spelling; strong understanding of grammar and punctuation rules; and the ability to correctly proofread and edit correspondence •Ability to provide excellent customer service to staff and the public, including the ability to handle conflicts and complaints •Strong interpersonal skills and the ability to establish and maintain effective working relationships with coworkers and be a team player •Strong organizational skills and the ability to manage time effectively, coordinate multiple projects simultaneously, work in an environment with constant interruptions, consistently meet deadlines, and be flexible to changing priorities •Strong file management skills and the ability to develop and maintain accurate records and filing systems •Strong problem-solving skills and the ability to take initiative to resolve problems as they arrive •Self-motivated and the ability to work both independently and as part of a cohesive work team •Strong computer skills and proficiency in Zoom and Microsoft Outlook, Word, and Excel •Ability to understand, interpret, and explain City and department policies, regulations, and procedures to others •Ability to lift, drag, and push files, paper, and documents weighing up to 25 pounds Additional Information An online completed City application form is required to apply for this position. Compensation includes enrollment in California Public Employees' Retirement System as a replacement for Social Security plus a competitive benefits package.
