WORKERS' COMPENSATION BOARD-ANTICIPATED VACANCY-Opening Date: November 12, 2024Closing Date: November 26, 2024Job Class Code: 6542Grade: 13Salary: $17.30 - $24.91/HourlyPosition Number: 029000255PURPOSE OF ANNOUNCMENT The Workers' Compensation Board has one full-time Office Associate II position available in its Augusta Office located at 442 Civic Center Drive.JOB DESCRIPTIONThis position provides routine, varied office support, records hearings and has direct contact with members of the public and other agencies in person and by phone. You will also respond to questions about workers' compensation benefits, work with forms and verify the accuracy of information, data and calculations, and process filings for initiating litigation, contested claims and settlement of individual cases. Tasks require operation of technical office equipment and knowledge of Microsoft applications. TYPICAL DUTIES
  • Provide technical assistance to claims managers, adjusters, claims representatives, attorneys and WCB Staff for completion and filing of WCB forms.
  • Shares duties as receptionist, occasionally greets and directs members of the public in person and by phone to determine individual needs.
  • Refers non-routine phone inquiries to appropriate resources.
  • Shares duties of opening, distributing, and handling mail.
  • Performs database management.
  • Review and process a variety of forms filed with the Board regarding payment of benefits to injured workers checking for completeness and accuracy, identifying errors, applying the correct rules and statutory requirements depending on date of injury, calculating &/or verifying rates as needed.
  • Resolve problems placed into queues such as: incorrect date of birth, Social Security number, misspelled name or change of address.
  • Maintain batch files for paperwork filed prior to forms being entered. Sort and match daily paperwork with the correct file.
  • Enter petitions into the Board's case management system and purge original claim files that have exceeded the statute of limitations.
  • Types varied business correspondence such as letters, reports, and orders.
  • Organizes records and maintains computerized and manual files.
  • Operates technical office equipment.
  • Examines/proofreads documents to detect errors and irregularities.
  • Maintains inventory and orders supplies for the office.
  • Electronically record via Teams, of audio/video/in person formal proceedings.
MINIMUM QUALIFICATIONSTraining, education, or experience in office and administrative support work that demonstrates:
  • 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and
  • 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.
