NATURE OF WORK
This is responsible clerical and administrative work requiring customer service responsibilities with a variety of complexity.
Work involving established procedures and routines and the independent performance of clerical duties using independent judgment based on knowledge gained through experience and within the predetermined policies and procedures. Work may include resolving problems involving departures from established policies and procedures which are reviewed with superiors for final decision. Work processes are performed independently and are carried out through completion.
ESSENTIAL FUNCTIONS:
The following examples of work are illustrative only and are not intended to be all inclusive:
* Types reports/Dictation for officers and staff
* Transcribes interviews and other special reports
* Proofreads reports for errors as makes corrections.
* Types letters, memoranda, reports, requisitions, lists, forms, schedules, and other materials, working from rough drafts, dictating equipment, verbal instructions, or established procedures; operates adding machines, photocopying machines, and miscellaneous office equipment.
* Copies all reports for the County Attorney's Office and compile data for distribution as required.
* Pick-up/deliver paperwork from City Departments, County Attorney, Dodge County Sheriff's Office and County Court.
* Deliver and pick up various paperwork from City Hall.
* Deposits money in bank.
* Works at the counter providing information and accepting registrations, Gun permits, UTV Permits, Bike License, and collections associated fees; counts and balances funds for deposit.
* Prepare and process requests for Background Checks, check three database systems, fill out request and prepare for mailing.
* Complete checks for the Nebraska State Patrol via fax.
* Answers and dispatches telephone requests for service; reviews files and relays information to appropriate party; records and files service requests.
* Responds to citizen inquiries and complaints.
* Sorts and files a variety of information alphabetically, numerically, chronologically, or by other established classification. May update utility locations in computer files and map books.
* Cross train and provides back up to Senior Office Associate position.
* Performs other work which is consistent with the essential functions of the job.
DESIRABLE KNOWLEDGE, ABILITIES AND SKILLS
* Considerable knowledge of business English, spelling, arithmetic, punctuation, filing and grammar, and possession of a good vocabulary.
* Considerable knowledge of the operating and maintenance requirements of a Personal Computer and of standard office machines
* Knowledge of commonly used governmental terminology.
* Knowledge of the functions, general procedures, and requirements of a governmental jurisdiction.
* Ability to convey concise and accurate explanations of policies, procedures, and requirements.
* Ability to carry out continuing assignments requiring the organization and presentation of material.
* Ability to type rapidly, accurately and neatly from copy, rough draft, and varied sources and forms.
* Ability to follow oral and written instruction.
* Ability to establish and maintain effective working relationships with other employees, other City departments, State and County Agencies as well as the general public.
* Strong attention to detail, ability to perform accurate dictation entry into law enforcement system.
MINIMUM QUALIFICATIONS
Graduation from high school or equivalent GED supplemented by courses in secretarial subjects; experience in administrative work including public contact; or any equivalent combination of training and experience that provides the knowledge, abilities, and skills; Must be able to work with confidential information and maintain confidentiality. Strong attention to detail and a high level of accuracy.
