Position Summary:

The Office Operations Assistant plays a major role in ensuring the smooth and efficient operation of our facilities. This role will be responsible for coordinating various aspects of day-to-day operations of facilities including reception, facilities coordination, shared supplies coordination, and shared shipping and receiving functions of the location. This position requires a proactive individual with excellent communication skills and the ability to handle multiple tasks simultaneously. This role will work closely with various departments, assist site EHS and site HRBP, and coordinate with external vendors to ensure the seamless operation of our facilities.

Position Responsibilities:

  • Collaborate with Director, Operations and Fulfillment and site EHS to coordinate routine maintenance activities to ensure the facility is well-maintained and operational.
  • Collaborate with Director, Operations and Fulfillment and site EHS to coordinate vendors and contractors for repairs and improvements.
  • Conduct regular inspections with site EHS to identify and address any maintenance issues promptly.
  • Shared reception duties; enforce visitor registration procedures.
  • Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Coordinate loading dock and shipping/receiving transactions and documentation.
  • Coordinate shipping and receiving functions including PO process and Oracle process.
  • Inspect and verify incoming shipments for accuracy and quality.
  • Assist site EHS to coordinate with service providers for water, electricity, internet, and other essential services.
  • Assist site EHS to source and negotiate with vendors for facility-related services and supplies.
  • Assist site EHS and site HRBP with inspecting plant facilities to determine repairs, replacement, or improvements required.
  • Conduct regular reviews with site EHS and site HRBP and prioritize issues.
  • Maintain inventory of office supplies, ensuring their availability
  • Perform other duties as needed

Knowledge of Production and Processing.

Ability to analyze and problem-solve complex data and issues.

Works closely with the EHS team to ensure compliance with all safety and security protocols.

Position Qualifications:

Education:

Education:

High School Diploma or equivalent

Experience:

4+ years of experience

2 + years of experience with hazardous waste management and hazard communication

Vision abilities required to validate and enter data on a computer

Work Environment and Physical Requirements:

Office- Facilities Environment

Ability to sit for long periods of time- Walking for long periods of time

Extensive phone usage.

Ability to walk up and down stairs

May lift up to 50 lbs
