Job Summary

The Office Coordinator II position provides comprehensive administrative support to the Chief Human Resources Officer (CHRO) while managing operations for the Office of Human Resources. This position is also responsible for the day-to-day operational logistics of the Office of Human Resources. This position serves as the administrative contact and liaison for internal and external office constituencies. The Office Coordinator II works independently with minimal supervision in a work environment of multiple and conflicting priorities; anticipates and resolves problems and updates Chief Human Resources Officer (CHRO) on the status of day-to-day operations and urgent issues. Supervises the work of temporary support staff, casual labor and student workers as assigned.

Responsibilities

Executive Support - 40

Provides administrative support to the Chief Human Resources Officer (CHRO) including, but not limited to the following: Manages department budget, prepares budget projections for operational and staffing needs, and processes funding requests and purchases. Manages CHRO's calendar, including scheduling meetings, coordinating with multiple stakeholders. Prepares materials for meeting, committees, and presentations. Drafts correspondences and campus announcements. Manages travel arrangements and processes expense reports. Handles confidential correspondence and documents. Assists with projects and initiatives.

Coordinating - 30

Serves as first point of contact for the Office of Human Resources; assists with the identification and resolution of customer questions and concerns; answers multi-line phone and routes calls and inquiries to appropriate staff. Manages visitor check-in process and maintains security protocols; manages front office rotation schedules to ensure the front office is appropriately staffed. Assists with the planning and coordination of departmental activities and HR events. Coordinates the on and off-boarding of HR staff; serves as assets manages for IT and office inventory; and serves as Building Manager for the Wooten-Garner House. Serves as primary web content manager for the web presence of the Office of Human Resources including, but not limited to the internet, intranet and Policy Manual website content. Serves as logistics coordinator for Title IX Hearings.

Administrative Support - 20

Supervises temporary employees and student workers assigned to the front office. Manages the P-Card background verification process for the Office of Human Resources. Conducts employment verifications; provides administrative oversight for HR websites; assists with the processing of basic HR paperwork; orders supplies and maintains office equipment; processes incoming/outgoing mail and deliveries; and manages general compliance oversight for required employment law postings. .

Performs other duties as assigned by CHRO.

Required Qualifications

Educational Requirements

High School diploma or equivalent.

Required Experience

Three (3) years of experience, or an equivalent combination of education and experience.

Preferred Qualifications

Additional Preferred Qualifications

Associates degree, and at least 2 years prior experience Human Resources and Higher Education preferred.

Preferred Educational Qualifications

Bachelor's degree

Preferred Experience

Two or more years of Human Resources experience.
