Description

GSI Environmental Inc, a privately owned Environmental Engineering and Consulting firm, has an immediate opening in its Emeryville, CA office for an Office Coordinator. Duties and responsibilities include providing administrative support to ensure the efficient operation of the office. Supports GSI's technical employees through a variety of tasks related to office organization and internal and external communications. Must have the ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. The position reports to the GSI Managing Principal in Emeryville and is a 32 hours/week position.

Key Responsibilities:

* Cover the reception desk, answer, and direct phone calls, greet visitors to the office

* Manage office atmosphere and cleanliness

* Provide support with office supply orders and repairs to office equipment

* Manage incoming and outgoing mail and shipments

* Assist with planning and scheduling office events, meetings, conferences, and client meetings

* Assist with electronic file management

* Assist with booking travel arrangements when necessary

* Format reports, documents, and tables within Microsoft Word and Excel to be cohesive with GSI branding guidelines

* Assist technical teams with issuing reports and other project deliverables, including printing/copying, assembling, and shipping

* Support accounting, marketing, and HR departments with routine administrative tasks and special projects

Qualifications

Qualifications/Requirements:

* Proven administrative assistant experience

* Proficient in MS Office (Outlook, Word, Excel, Power Point, SharePoint) and Adobe Acrobat

* Excellent time management skills and ability to multi-task and prioritize work

* Outstanding written and verbal communication skills

* Strong organizational and planning skills

* High school diploma or equivalent; college degree preferred

* Ability to work in-office 24-32 hrs./week with occasional need for extended hours
